    Archivist (10 Positions)

    Vacancy No. CVDC/013/01/23

    Position summary

    The successful candidate will be tasked with the organization and management of the study´s archive and all documentation linked to clinical trial in compliance with best practices and study specific procedures. The candidate will work under a multidisciplinary team of scientists, trial coordinators, study compliance officers, and clinicians, mainly reporting to the regulatory and monitoring team.

    Job Specification

    • Quality control of documents including informed consent forms (ICFs), logs and others;
    • Reporting of protocol non-compliances related to ICFs;
    • Adherence to study SOPs related to archiving and handling of documentation;
    • Maintenance, organization and cleanliness of the archive;
    • Filing of all study documentation in an orderly manner according to the specific archive management procedures;
    • Ensure the proper conservation of study documentation, identifying risks to study documents and reporting these to line manager;
    • Scan and send documents to colleagues or monitors whenever necessary;
    • Manage and maintain the electronic archive of scanned documents;
    • Liaise with data management team wherever needed;
    • Accompany and provide support during monitoring visits;
    • Other tasks as directed by the regulatory and monitoring team.

    Person Specification

    • Minimum of a Diploma in Archives, Records Management, Information Management, Information Science, Library Science or equivalent qualification from a recognized Institution;

    Key Skills and Competencies

    • Team player with excellent interpersonal skills;
    • Solid organizational skills, including attention to detail and multitasking skills;
    • Excellent time management, prioritization and organizational skills;
    • Experience in health research is an added advantage; and
    • Experience follwoing GCP-ICH is an added advantage.

    Senior Field Assistant –Safety & Efficacy (4 Positions)

    Vacancy No. CVDC/012/01/23

    Position summary

    The candidates will be expected to supervise field assistants support MDA activities, electronic data collection as well as participant enrolment and follow-up. The candidates will work under a multi-disciplinary team of scientists, a trial coordinator, clinicians, pharmacists and operations officers.

    Job Specification

    • Training of field assistants and field officers working on a casual labour basis;
    • Supervision of field assistants in their daily tasks;
    • Ensuring that all field assistants and field officers have the necessary materials, documentation and equipment needed for their work;
    • Oversee study field activities through daily visits of the study area;
    • Assist in community engagement activities whenever requested;
    • Be familiar with study requirements, schedule, documentation and quality assurance procedures;
    • Conduct information giving with the community on study aims, objectives, procedures, risks, benefits as well as respond to questions and concerns;
    • Oversee informed consent process is conducted following highest ethical standards; and
    • Report anomalies or technical issues to operations team in timely manner.

    Person Specification

    • Minimum of a Diploma in any biomedical Sciences.

    Storeroom Attendant

    Vacancy No. CVDC/010/01/23

    Position summary

    The successful candidate will oversee the BOHEMIA store at KEMRI Kwale and will implement best record keeping and storage practices. They will be involved in receiving equipment/materials, managing inventory, conducting follow up on equipment when needed and communicating effectively with the management and fieldworker team. The ideal candidate will have at least 1 year of experience as a storeroom attendant (or a similar type of position) with a demonstrated track-record in handling and organising inventory with highest degree of integrity and professionalism.

    Job Specification

    • Record and track the inventory of all stored items;
    • Maintain an active registry, updating records to register supplies and materials received and dispensed;
    • Conduct physical inventory checks on a routine schedule;
    • Verify inventory records and correct discrepancies;
    • Distribute storeroom materials in accordance with requisition forms or other;
    • Alert project manager when items need to be re-ordered and when anomalies/breakages are registered;
    • Ensure the storeroom is kept clean and orderly;
    • Other tasks as directed by the project manager team.

    Person Specification

    • KCSE mean grade D+ or any other equivalent qualification from a recognized institution;
    • Minimum of a Certificate in procurement, supply chain, records management or any related field

    • Excellent English and Kiswahili communication skills;
    • Proficient computer skills with the ability to update and maintain a computer inventory register;
    • Ability to write and prepare packing slips and labels;
    • Team player with excellent interpersonal skills;

    • Excellent time management, prioritization and organizational skills;
    • Demonstrated adaptability and ability to manage a rapidly changing environment;
    • Experience with Microsoft Office;
