    Sacco Head of Finance and Operations

    Job Purpose

    The Head of Finance and Operations is a senior, strategic, and hands-on leadership role responsible for providing comprehensive financial and operational leadership across the cooperative Union and its subsidiary business units namely, the Coffee Farm, Coffee Milling, Real Estate Management, Credit Section, Agrovet Business, Coffee Value Addition and Processed Coffee Marketing.

    Duties & Responsibilities

    • Develop and implement the cooperative’s financial strategy, ensuring alignment with its strategic goals; provide strategic financial advice to the CEO and the Board.
    • Lead the annual budgeting and planning process; review all financial plans and budgets, monitor progress, and report on financial performance to senior management in a timely manner.
    • Ensure the timely and accurate preparation and presentation of monthly, quarterly, and annual financial statements, management accounts, and Board reports in compliance with IFRS standards.
    • Manage the cooperative’s cash flow, treasury forecasting, and liquidity to ensure adequate funding and optimize the use of financial resources.
    • Ensure full compliance with all applicable laws and regulations, including the Co-operative Societies Act, KRA tax requirements and regulations.
    • Establish and maintain robust internal control and risk management systems to safeguard assets.
    • Coordinate the annual audit process and liaise with external auditors.
    • Identify, assess, and mitigate financial and operational risks.
    • Oversee the day-to-day operations of all the cooperative business units, ensuring efficient and smooth operational processes.
    • Develop, implement, and monitor Standard Operating Procedures (SOPs) and operational policies to ensure standardized practices across all departments.
    • Optimize the allocation of resources to enhance operational efficiency and scalability.
    • Supervise administrative functions and facility management to ensure adequate logistical support.
    • Lead, mentor, and develop the finance and operations teams, fostering a high-performance culture.
    • Drive professional development, performance appraisals, and training for staff.
    • Establish performance targets, monitor team performance, and ensure accountability.
    • Ensure the Board receives sufficient and timely information to make informed decisions.
    • Manage relationships with banks, KRA, auditors, and other external partners.
    • Ensure financial transparency and effective communication with cooperative members.

    Qualifications

    • Bachelor’s degree in Accounting, Finance, Business Administration, Economics, Agribusiness or a Business related degree or its equivalent from a recognised university.
    • A Master’s degree (MBA or equivalent) is an added advantage.
    • Certified Public Accountant of Kenya CPA(K) or its equivalent.
    • 7 years practical experience in agribusiness or multi-entity business environment of which 3 years must be in a Senior Management position.
    • Age: 35 years and above.

    Sacco Human Resource Officer

    Job Purpose

    The Human Resources and Administration Officer is a dual-role position that combines human resource management and executive support to the Chief Executive Officer. Reporting to the CEO, the officer is responsible for coordinating and implementing the Cooperative Union’s human resource and administrative functions to ensure the organization attracts, develops, motivates, and retains competent employees while maintaining efficient administrative systems and a productive work environment.

    Duties & Responsibilities

    • Support the development, implementation, and periodic review of human resource policies, procedures, manuals, and systems in line with applicable labour laws and best practices.
    • Provide HR information and recommendations to support management decision-making.
    • Monitor emerging labour trends and recommend appropriate interventions.
    • Coordinate end-to-end recruitment, selection, and onboarding processes.
    • Prepare recruitment documentation, manage job advertisements, and maintain competency databases.
    • Facilitate induction of new employees and monitor probation processes.
    • Support implementation of employee retention initiatives.

    Sacco Professional Driver

    Job Purpose

    To provide safe, reliable, and professional transport services to the Sacco Chief Executive Officer (CEO) and other authorized staff, while ensuring proper maintenance of assigned vehicles and providing administrative and logistical support as directed. The role contributes to the efficient operation of the Sacco by facilitating secure transportation, timely delivery of documents, and effective execution of administrative duties in line with organizational policies and service standards.

    Key Duties and Responsibilities

    • Provide transport support during routine assignments to ensure timely and efficient delivery of services.
    • Maintain the cleanliness and general condition of the assigned vehicle and promptly report mechanical faults.
    • Conduct pre-operation checks on engine coolant, oil, brake and clutch fluids, battery condition and other essential vehicle components.
    • Ensure safe, efficient and cost-effective use of the vehicle.
    • Conduct routine vehicle inspections and ensure compliance with the Highway Code and applicable road safety requirements.
    • Attend to minor mechanical needs and promptly report major mechanical faults.
    • Maintain accurate and up-to-date vehicle logbooks and other required records.
    • Adhere to all road safety requirements, traffic laws, Sacco policies and procedures.
    • Ensure the assigned vehicle remains roadworthy and properly maintained at all times.
    • Perform any other duties as may be assigned from time to time.

    Qualifications & Experience

    • A minimum of KCSE mean grade C (Plain) or a recognised certificate in any course.
    • At least four (4) years’ relevant driving experience, preferably in a recognised institution or corporate organization.
    • A valid driving licence for the appropriate class of vehicle.
    • Demonstrable defensive driving skills; a defensive driving certificate will be an added advantage.
    • A clean and demonstrable driving record with no serious traffic offences.
    • Good interpersonal and communication skills.
    • Ability to operate a vehicle safely and effectively under different weather, road and traffic conditions.
    • Excellent organizational and time-management skills.

    Chapter Six Requirements

    Sacco ICT Officer

    Job Purpose

    The ICT Officer is responsible for planning, coordinating, implementing, and continuously improving the technology environment for the Cooperative Union and its business units ensuring that ICT services are secure, reliable, and efficient.

    The role provides both strategic and operational leadership, overseeing ICT infrastructure, core business systems, digital platforms, information security, business continuity arrangements, and user support services. The ICT Officer is expected to ensure that technology effectively enables business operations, safeguards the cooperative’s information assets, maintains system integrity, and supports its digital transformation objectives.

    Duties & Responsibilities

    • Develop the annual ICT work plan, budget, and activity schedules in alignment with the cooperative’s strategic plan.
    • Participate in the development, review, and implementation of ICT policies, procedures, standards, and controls.
    • Provide technical advice to management on ICT investments, technology risks, and digital opportunities.
    • Prepare ICT reports for Management and the Board as required; monitor the implementation of approved ICT projects and programs.
    • Manage and maintain the cooperative’s core business systems (e.g., financial systems, farm management systems, milling plant production tracking systems, property management systems, Agrovet inventory systems, and coffee marketing platforms), databases, servers, networks, and digital platforms.
    • Ensure optimal performance, security, and availability of ICT systems and services; monitor system capacity, utilization, and performance, and recommend improvements where necessary.
    • Maintain accurate records of ICT assets, software licenses, configurations, and system documentation.
    • Coordinate system upgrades, updates, patches, and integrations.
    • Implement and monitor ICT security controls, policies, and procedures.
    • Protect the organization’s systems and data from cyber threats and unauthorized access; monitor security events, vulnerabilities, and incidents, and initiate corrective actions.
    • Promote information security awareness among all staff.
    • Identify, assess, and manage ICT-related risks; maintain the ICT risk register.
    • Ensure compliance with the Data Protection Act and other relevant regulations.
    • Develop, test, and maintain data backup, disaster recovery, and business continuity arrangements.
    • Support ICT audits and coordinate the implementation of the recommendations.
    • Recommend emerging technologies that support business objectives and promote automation and digitalisation of business processes where feasible.
    • Provide first- and second-line technical support to staff and users.
    • Diagnose and resolve hardware, software, network, and application issues.
    • Install, configure, maintain, and troubleshoot computers, printers, communication devices, and related peripherals.
    • Conduct user training and provide technical guidance on ICT systems and applications.
    • Liaise with ICT vendors and service providers; coordinate the procurement of ICT equipment and services.

    Qualifications

    • Bachelor’s degree in Computer Science, Information Technology, Information Systems or a related field from a recognised university.
    • Professional certifications such as CCNA, CompTIA A+, Microsoft Certified Professional, or equivalent.
    • Certification in cybersecurity will be an added advantage.
    • 3 years relevant work experience in ICT systems administration, network administration, or ICT support.

    Sacco Credit Relationship Officer

    Job Purpose

    The Sacco Credit Relationship Officer is responsible for managing and growing the institution’s credit portfolio by developing and maintaining strong relationships with members/customers, identifying their financing needs, appraising credit applications, and ensuring timely disbursement and repayment of loans. The role ensures that all lending activities comply with the institution’s credit policies, regulatory requirements, and approved risk management standards while maintaining a high-quality and profitable loan portfolio.

    Key Duties and Responsibilities

    Financial

    • Set up, process and follow up credit application files to ensure timely completion.
    • Collect and analyze customers’ or prospects’ financial statements and other relevant documentation.
    • Analyze and prepare credit facility applications in accordance with the Sacco’s Credit Policy, negotiated pricing conditions and approved service-level timelines.
    • Identify opportunities to cross-sell the Sacco’s products and services.
    • Ensure full compliance with the Sacco’s Credit Policy and approved credit processes.

    Customer Focus

    • Manage and monitor the assigned loan portfolio.
    • Assess customers’ actual financial needs and ensure consistency between requested and proposed credit facilities.
    • Maintain customer retention while enriching and updating prospect and customer databases.
    • Identify opportunities to meet customer needs and cross-sell relevant SACCO products and services.
    • Follow up customer complaints and ensure resolution within approved Service Level Agreements and procedures.
    • Conduct scheduled and focused customer calls to strengthen relationships and support continuous improvement in customer service.

    Operational

    • Maintain and regularly update customer file schedules, including KYC information, call reports, maturities, completion of security documentation, insurance, interest rates and loan instalment arrears.
    • Ensure compliance with applicable regulatory requirements and implementation of effective Anti-Money Laundering (AML) and KYC controls.
    • Maintain accurate and complete credit and customer records.
    • Strictly adhere to the Sacco’s Code of Ethics in all customer dealings.

    Qualifications & Experience

    • A Bachelor’s degree from a recognised university, preferably in Business, Finance, Economics, Commerce or another relevant field.
    • At least two (2) years’ relevant experience in credit, business development, customer relationship management or a related role, preferably within a Sacco, banking or financial services environment.
    • Demonstrable experience in credit appraisal, loan portfolio management and handling and resolving customer requests and queries.
    • Good understanding of prudential guidelines, KYC and applicable credit and regulatory requirements.
    • Good analytical, communication and customer relationship management skills.
    • Strong team-building skills and ability to work effectively with diverse teams.
    • Resilient, confident, self-motivated and results-oriented.
    • High level of integrity, professionalism, confidentiality and commitment to customer service.

    User Interface and User Experience (UI/UX) Designer

    The Role

    The successful jobholder will be expected to:

    • Act as a design lead on all projects tasked with making complex user experience decisions and assist in the definition and translation of business/functional requirements into user flows and wireframes.
    • Facilitate user experience design thinking sessions to identify business and technical requirements for technology, research and business initiatives to ensure that designs are successfully created and implemented to achieve the user goals.
    • Develop overall user experience, interaction design and information architecture for technology and business initiatives, setting the standard for rigor and detail needed by those who will base their work on the design.
    • Use a variety of analytical techniques to gather and analyze design requirements (e.g. interviews, desktop analysis, competitor analysis, workshops, mystery shopping, surveys, site visits, use cases, workflow analysis, observations, etc.). This includes creating site maps, user flows, wireframes, prototypes and design specifications; analyzing usability test results; and developing user experience design briefs.
    • Evaluate information gathered from multiple sources with the aim of resolving conflicts and providing information to support interaction design prioritization and tradeoff decisions.
    • Define process improvements for the user experience team and work with the leadership team to communicate and uphold user experience standards.
    • Work with technical leads to understand technical systems and constraints so that design solutions are technically feasible and optimal and to co-evolve experience solutions through an iterative design process.
    • Serve as the organization’s internal expert and industry leader on competitive and complementary design strategies to ensure a ‘best-in-class’ approach for every project. You should be able to shape and guide the future of UI/UX within the organization.
    • Define, prioritize, and manage design schedules and deliverables across multiple initiatives. Lead the development and advocacy of UI and UX guidelines, standards, and requirements that will serve as the foundation for designing customer centric, intuitive, engaging, and high-quality visual experiences across the organization.
    • Act as an internal consultant and subject matter expert by staying on top of changing UI/UX design technologies, as well as corporate, organization, and industry standards to ensure leading-edge interpretation and execution of design applications and to provide business and technical guidance where appropriate.

    Qualifications, Skills & Attributes

    The successful jobholder will be required to possess the following qualifications:

    • A Bachelor’s degree in an IT related field or Business related field with relevant IT Professional qualifications. A background in Graphic or Visual Design, Digital Media Design, or any other visual specialty and related qualifications will be an added advantage.
    • At least 5 years’ relevant work experience in a role directly related to UI/UX design for mobile and web platforms, product design, and product management.
    • Exceptional technical proficiency across all phases of the UX/UI design process. You should be skilled in conducting thorough user research, translating insights into actionable ideation, and crafting intuitive user flows and wireframes. This role requires advanced experience in creating high-fidelity prototypes and preparing detailed design documentation for seamless collaboration with development teams. An expert-level command of leading design software, including Figma, Adobe XD, and the Adobe Creative Suite (Photoshop, Illustrator, etc.), is essential.
    • A creative problem-solver with demonstrated experience and a proven track record of leading complex projects, influencing outcomes, and building consensus across multiple stakeholders and cross-functional teams.
    • Demonstrated ability to scope and estimate efforts accurately, prioritize tasks and goals independently and rapidly produce deliverables in a fast-paced iterative environment.
