    Project Coordinator Youth Ready Project

    Key Responsibilities:

    Project Planning, Coordination, Implementation and technical guidance

    • Responsible for the implementation of all theproject activities in accordance with the set youth ready guidelines

    KNOWLEDGE, SKILLS & QUALIFICATIONS

    • At least four years on job experience and specialties in positive youth development, economic empowerment projects including gender mainstreaming

    • Must have a good understanding of the different systems of youth positive development.

    Supply Chain Intern

    Job Description:

    • Under the direct supervision of the Regional Supply Chain Specialist, the Supply Chain Intern is responsible for supporting the Regional Supply Chain Specialist in the delivery of critical supply chain functions within the EARO (East Africa Regional Office).
    • This position plays a pivotal role in contributing to the smooth and efficient operation of the supply chain, ensuring the successful execution of various functions and tasks under the guidance of the Regional Supply Chain Specialist.     MAJOR RESPONSIBILITIES

    • Adherence to Procurement Policies: Understanding, implementing, and maintaining World Vision's procurement policies and procedures to ensure all activities are carried out in accordance with established guidelines.
    • Utilization of Provision System: Proficiently navigate and utilize the Provision online procurement system for various procurement activities, including requisition processing and tracking

    Supply Chain Coordinator

    Key Responsibilities:

    Planning

    • Advise on all procurement related matters.
    • Facilitates across all parties the timely resolution of issues that could impact meeting the needs of the requestor and communities.
    • Identify alternative supply sources for materials / services not under contract
    • Ensure safe delivery and receipt of ordered goods and services.
    • Resolve conflicts of deliveries where they occur amongst suppliers

    Strategic Sourcing

    • Execute the Market Assessment and Supplier Pre-Qualification process as per the set guidelines based on the set guidelines for the assigned categories.
    • Manage the RFQ/RFP Process including baselines & price survey methodologies as per the approved framework for the assigned categories.
    • Lead negotiations for the assigned Categories.
    • Supervise the procurement processes and Assistance work relating to sourcing.
    • Preparation of Procurement Committee submission documents to ensure their comprehensiveness to allow an informed decision-making process.

    Supplier Contact Relationship & Management

    • Accurately complete the master data management form (or contract/supplier register)
    • Monitor and complete contract close-out, renewal or retender, as appropriate for the assigned commodities.
    • Ensure that contractual conditions and performance indicators are understood by the suppliers.
    • Identify & resolve or escalate contract-related issues both internally and externally.

    Procurement Execution

    • Receive incoming Purchase Requisitions (Pending Buyer Action), verify specifications are clear, conduct sourcing event if required items are not already on contract, update the PR with actual supplier record and release PR for approval.
    • Follow Procurement Polices and guidelines in Supplier Award decisions under the applicable threshold.
    • Manage PO Change requests coordinating with Requesters, Budget Owners and Suppliers
    • Consolidates all required documentation for presentation to Finance for timely supplier payment for materials and services delivered

    Data Management & Analysis

    • Collect and analyze organization-wide data to support decision-making
    • Provide support in the design of the business metrics to monitor SCM performance and alerting management when the performance trigger is violated
    • Conduct spend analysis to support strategic sourcing activities, and Supplier Relationship Management
    • Prepare summary report of supplier bid responses for Procurement Committee award decision meetings
    • Track and analyze procurement performance and savings against established target levels 

    Process, Procedure & Policy

    • Conduct all procurement related tasks as per the approved procurement policies, processes and guidelines.
    • Advice management regarding any challenge / risks / impractical guidelines.
    • Collect customer feedback relating to the policies, processes and guidelines, and report to NO Management for improvements or change,
    • Review with Partners / Sub-Grantees, their SCM Policies, procedures and etc. to identify any gaps, document them under assessment reports, and capture under capacity building plans

    Systems Development & Implementation

    • Collect and collate useful data which can be used to improve the general systems established and communicate this information to immediate Supervisor

    Control & Compliance

    • Conduct supplier pre-qualification for all new-suppliers and maintain records.
    • Participate in development of risk identification & assessment tools, registers and other tools and assessing SCM and contractual risks for procurements of goods, works or services.
    • Maintain proper filing and record keeping as per the guidelines set by the management.
    • Coordinate with Requesters to close out open POs in a timely manner.
    • Implementation of agreed audit recommendations in the procurement process as per the guidance given by the HoD.
    • Participate in process to Review Partners / Sub-Grantees, internal control system in the procurement process to identify any gaps, document them under assessment reports, and capture under capacity building plans.
    • Periodically monitor the progress on implementation of recommendations and update the management of all parties

    Training & Capacity Building

    • Coordinate, participate in, and/or train staff from Supply Chain Staff and other WVI Departments on WVI Procurement Policies, Processes, and Systems
    • Conduct Partners' / Sub-Grantees' capacity assessment and capacity building plans as per set framework / guidelines.
    • Train the Partners / Sub-Grantees based on the approved capacity building plan, monitor progress. Coordinate with internal stakeholders in monitoring the progress and submit progress reports to the management

    • Participate in committee & Task forces requiring security input or guidance.

    Grants Program Support Intern

    JOB PURPOSE

    • The Regional Resource Development Graduate Intern will provide administrative, Grant Acquisition Analysis and documentation.     Research, Development and Learning Intern

    JOB PURPOSE

    • The role, located in the East Africa regional office, intends to influence development and use of needs-based research and information for knowledge building, generation and sharing by building the capacity of young professionals following on intentional capacity building and coaching sessions, integrated with their journey in Christianity. More so, the role shall work closely with the Strategy and Programme Quality department, with the support and coaching of the Monitoring and Evaluation Advisor, and in collaboration with other unit teams and leaders to support in the implementation and tracking of the partnership/regional office learning agenda. The role shall support, in collaboration with other units, in re-designing and updating the World Vision International intranet (wvcentral) with up-to-date communications, impact and strategic information; tracking the implementation of Box project for timely document updates that would ensure ease of access and collaboration within (and across) teams.
    • The role will work closely with the regional M&E Advisor in ensuring implementation of quality research and generation of timely analysis on context (desired topics) enabling learning and agility in programming. Such information will be used in the development of proposals and for pitching by the Regional Leader and the Senior Leadership Team.  

    MAJOR RESPONSIBILITIES

    Support documentation and learning

    • Supporting mapping of NO and regional researches in line with Research Agenda and Plans
    • Supporting the development of summary research findings with the related offices and/or units
    • Reviewing research and learning reports for quality and compliance to set standards
    • Conducting research on various topics and subjects as assigned including in providing data on indicators of interest

    Monitoring and Evaluation Intern

    JOB PURPOSE

    • To influence quality and fidelity of programming by building the capacity of young professionals following on intentional capacity building and coaching sessions, integrated with their journey in Christianity.     Humanitarian Emergency Affairs (HEA) Capacity Building Specialist

    The purpose of role:

    • Humanitarian Emergency Affairs (HEA) Capacity Building Specialist manages the regional surge capacity for disaster responses and support the improvement of disaster management capacity across the South Asia Pacific (SAP) region primarily through managing the Regional Disaster Management Team (RDMT) and supporting the development and implementation of National Office (NO)s’ Humanitarian Emergency Affairs (HEA) and Disaster Management capacity building plans which will include but not limited to the development and capacity building of National Disaster Management team (NDMT)s.

    Major Responsibilities:

    Strategy (10%)

    • Contribute to the development of South Asia Pacific HEA regional strategic guidance and annual business plans, in support of and in alignment with SAP and Global Center Disaster Management (GCDM) strategies.
    • Support the development of annual capacity building plans of National Offices in South Asia Pacific based on the results of the Disaster Management scorecard analysis, and in alignment with the NO strategies and as well as the South Asia Pacific HEA strategic guidances.
    • Engage in the development of partnership strategic guidances and resources on capacity building and organisational development for HEA and Disaster Management.

    Management (20%)

    • Manage deployment services and ability of the RDMT through management of competency, availability, access and utilization of the RDMT members.
    • Manage surge capacity prepositioning and deployment for declared emergency  responses in the South Asia Pacific region and beyond through management of competency, availability, access and utilization of RDMT, NDMT and Emergency Roster Subject Matter Expert (SME)’s  if needed
    • Manage stakeholder expectations on deployment/capacity building engagement in alignment with deployment/engagement TORs, Global Deployment Policy and RDMT Memorandum of Understanding.
    • Support the Response offices in  development of deployment/engagement TORs and ensure completion of End-of-Deployment/Engagement Appraisals for RDMT and Emergency Response (ER) SME’s from the South Asia Pacific region in collaboration with People & Culture (P&C) assigned in the Response and or Response Supervisor
    • Coordinate deployment/capacity building engagement mechanism in the South Asia Pacific region in collaboration with Global Humanitarian Surge Specialist and GCDM Capacity Building Technical Director
    • Facilitate access to staff care and other appropriate support during and after deployments/engagements for RDMT and ER SMEs from the South Asia Pacific region.

    Technical Support (20%)

    • Provide technical support to the design and implementation of NO HEA and/or Disaster Management capacity building plan.
    • Provide technical support to the design and implementation of NDMT capacity building plan of Field Offices
    • Ensure that NOs have access to appropriate technical support during the design and implementation of national-level HEA and/or Disaster Management capacity building events including experiential-based events such as simulation exercises and learning labs.
    • Provide technical support to the development of national –level deployment policies and procedures in coordination with the NO and regional P&C units. 

    Operational & Capacity Building Support (20%)

    • Lead the design and implementation of RDMT capacity building plan, personal development plans to ensure learning and growth
    • Lead the design and implementation of regional surge capacity building plan.
    • Coordinate and collaborate with regional and global sector specialists, other line ministries, programme effectiveness, Communications, Finance, Security and P&C during the implementation of regional surge capacity building plan.
    • Lead and coordinate all regionally-managed capacity building events including but not limited to the RDMT Annual Workshop and the RDMT Selection Event.
    • Ensure that all regionally-managed capacity building activities are implemented within the plans and budgets, and are reported to relevant donors.
    • Manage mentoring/coaching programme for the RDMT members.
    • Manage RDMT’s Community of Practice MST channel
    • Provide capacity building support to NO P&C personnel in relevant areas within disaster management and responses in collaboration with regional P&C.  

    Knowledge Management (5%)

    • Ensure that response learning events and reflection of capacity building events are well documented, disseminated and utilized to inform capacity building strategic guidances and annual plans, and increase understanding for better policies and practices within the South Asia Pacific region, the partnership as well as the wider humanitarian sector.
    • Facilitate a research agenda that highlights and demonstrates WV’s credible voice in effective Disaster Management capacity building and organisational development.
    • Facilitate the development of capacity building resources including E-learning resources in collaboration with Global Center-HEA as well as regional and Global Center-P&C.
    • Facilitate mutual learning and collaboration between NOs within the South Asia Pacific region and with other region in WV partnership and other regional external networls
    • Contribute to HEA annual reports and other reports relevant to capacity building and organisational development.

    Quality Assurance (5%)

    • Promote the embedding of core humanitarian standards, quality, accountability and learning into all dimensions of disaster management throughout the Asia Pacific Region
    • Support leadership in identifying and accessing capacity building opportunities that address disaster management ministry quality and accountability issues in NOs.

    Internal Liaison & Coordination (5%)

    • Coordinate the sharing of better practices and lessons learned in capacity building and organisational development with the HEA community of practice.
    • Participate in strategic partnership forums, working groups and networks that have a direct impact on the management and implementation of the HEA and disaster management capacity building plans.
    • Contribute to regional ministry integration through effective networking with TD, Advocacy, Sectors and Support Functions including P&C, Finance, Communications and Security in SAP, and Global Center.

    External Relations (10%)

    • Support active engagement with the UN and other international organizations, government agencies, donor agencies, media, partners and communities to enhance World Vision’s understanding on the humanitarian emergency needs.
    • Provide support to NO HEA teams in engaging with  external training providers, resource persons and donors.
    • Support in maintaining good external relations with key regional humanitarian agencies to foster collaborative relationship and network in addressing disaster management and response capacity issues in Asia Pacific region.
    • Develop and maintain external relations with key international learning and research institutions to enhance organisational learning and the achievement of regional strategies.

    General (5%)

    • Work closely with other South Asia Pacific HEA Team members to support the achievement of South Asia Pacific HEA strategic guidances and annual business plans.
    • Perform any other tasks assigned by Regional HEA Director.

    QUALIFICATIONS:

    Education

    • Bachelor degree qualifications and/or professional qualification in Social Science, International Development or relevant field

    Experience and other qualifications

    • At least 3- 5 work years’ experience in Humanitarian and/or Disaster Management programming
    • Direct experience in capacity building and organizational development
    • Competent in the use of Microsoft Office computer programs including Word, Excel and PowerPoint
    • Knowledge of Humanitarian Emergency including humanitarian charter, laws and standards
    • Understand minimum standards in SPHERE, Red Cross Code of Conduct, People in Aid, Child Rights
    • Understanding WV vision, mission and HEA standards
    • Strong analytical, organizational, collaborative and facilitation
    • Self-managed, creative and has initiative
    • Familiarity with bilateral donor proposal writing and reporting standards (USAID, AIDAB, ECHO, AUSAID, ECHO etc.)
    • Cross cultural skills
