    Legal - Administrative Assistant

    About The Role  

    The Administrative Assistant shall be responsible for supporting the legal department and the organization at large in provision of legal services by providing assistance to the department, staff and clients.

    What You Will Do

    • Responding to routine enquiries from staff and clients.
    • Updating and maintaining the Litigation data base/ Tracker
    • Receive, record and share for action all in-coming mail.
    • Opening court files and other client files, maintaining records, printing, photocopying and scanning documents.
    • Maintaining up to date records & relevant registers required in the legal department.
    • Bring up of files for action and drafting reminders where necessary.
    • Giving messages and delivering correspondence promptly.
    • Updating and maintaining the contracts data base.
    • Maintaining the filing system on the legal Management system by filing correspondence as well as support the Society's record keeping needs.
    • Review completed transaction client files and confirm that the files contain all transactional documents and are ready to be closed/archived.
    • Undertaking safe custody and retrieval of files in the registry.
    • Undertaking research as and at when called upon.

    Qualifications

    • Diploma in Law from a recognized institution.
    • 2-3 years of experience in a corporate organization or a law firm.
    • Experience in Records management.
    • Excellent knowledge of MS Office, Excel and computer.

    Legal Affairs Officer

    About The Role 

    The job holder will support the Legal department in providing legal expertise on legal issues relating to the functions, structures and activities of the organization and support on issues pertaining to legal and regulatory framework and monitor compliance with legal and regulatory requirements.

    What You Will Do

    • Review of Sale Agreements and ensuring proper execution by the clients and the board members.
    • Drafting of service Level Agreements when called upon to do so.
    • Attending negotiation meetings with land vendors and prospective strategic partners.
    • Drafting of Memorandums of Understanding with various strategic partners.
    • Advising the society on the legal position on various legal questions upon review and interpretation of the various legislations and policies.
    • Ensuring the procedures of board activities are conducted in the manner set out in the by-laws and legislation.
    • Attesting to all the essential Society contracts and documents.
    • Ensuring proper use and storage of the Society seal.
    • Providing legal interpretation of legal regulations and documents.
    • Preparing and dispatching correspondence.
    • Communicating with and meeting Clients whenever called upon to do so.
    • Advising the society and assisting in providing solutions to potential issues involving compliance and risk.
    • Undertaking legal research and rendering legal opinions on different legal questions including but not limited to policies and legal regulations.
    • Attending to external meeting to represent the Society when necessary.

    Qualifications

    • Bachelors of Law degree from a recognized institution
    • Post graduate Diploma in Law
    • A valid practicing certificate
    • An advocate of the High Court
    • At least 2-3 years relevant work experience.
    • Knowledge of administrative and legal processes.

    ICT Officer

    About The Role 

    We seek to fill the position of an ICT Officer. The ICT officer will be responsible for assisting the department in the day-to-day support of the organizational ICT needs.

    • Installing and configuring computer systems and solutions.
    • Analyzing existing programs for modification and improvement.

    • Maintaining records of software licenses.
    • Managing stocks of equipment, consumables, and other supplies.
    • Developing procedural documentation and providing relevant reports.
    • Managing and supporting the roll-out of new applications.
    • Perform routine server monitoring and performance benchmarking.
    • Providing Microsoft Navision ERP and CRM systems support.
    • Windows server support, AD, user and system data backup.

    Qualifications

    • Have a Degree in IT or related field from an accredited university.
    • At least 3 years of active work experience
    • Advanced experience in networking and user support
    • Experience working with Microsoft server, Active directory and Microsoft exchange
    • Good understanding of software development and support
    • Certification as IT Technician will be an advantage (e.g. CompTIA A , Microsoft Certified IT Professional, CCNA)
    • Experience in the Use of Microsoft Navision or other ERP Highly desired
