    Administration Associate

    Job Description

    As the Administration Associate, you will work closely with the Country Expansion Manager to execute and coordinate the set-up of office operations. As Fenix scales in Kenya, you will take on considerable administrative responsibilities, as well as play a vital role in supporting finance functions.

    Support Office Operations

    • Support finding an appropriate space for the Fenix Kenya office, assembly plant & warehouse by contacting agents, viewing potential locations, and making recommendations
    • Support the recruitment process of Fenix’s sales, operations and customer service teams through sourcing of CVs, liaising with job recruitment companies, updating information on job recruitment boards, shortlisting CVs and scheduling interviews
    • Maintain a highly professional working environment, everyday (demo units set up, projector + whiteboard in every room, etc.) ensuring that the Fenix office always looks its best
    • Provide support in building a conducive environment for both internal and external customers, as well as the Fenix Kenya team
    • Safeguard the office, entrusted with maintaining office keys
    • Oversee the day to day operations of the Fenix Kenya office including managing office support staff – caretakers, cleaners, gardener & cooks
    • Answer all incoming calls as well as perform other general administration duties like data entry, scanning, filing, shredding etc.
    • Assist in coordinating key activities such as team meetings, workshops and/or special events
    • Take up adhoc projects from time to time as needed

    Support Finance & Legal Functions

    • Update company ledger i.e. Revenue and Expense entries in QuickBooks
    • Maintain company asset register
    • Ensure that Fenix Kenya is insured against all risks
    • Meet with the necessary govt officials and file the needed paperwork to ensure that Fenix is legally complainant and has all the necessary licenses/permits to operate in Kenya
    • Be responsible for the filing of Fenix’s returns (VAT, PAYE, NSSF, Annual returns etc.)
    • Update minutes from Fenix BoD
    • Handle the application & filing of TIN, PAYE, NSSF for Fenix Kenya employees
    • Support the application and processing of work permits for foreign nationals by making the necessary follow-up with immigration
    • Process all mobile money, cash and cheque payment requests
    • Assist in audit preparation
    • Prepare monthly balance sheet reconciliations and bank reconciliations
    • Coordinate all intercompany inventory and builds in QuickBooks
    • Process monthly payroll

    Required Skills & Experience

    • Bachelor of Science in Accounting or relevant education
    • Strong interpersonal skills: courtesy, tact, patience and strong team orientation
    • Knowledge of office and administrative practices
    • Skill in both verbal and written communication
    • Skill in problem solving and decision-making
    • Proficient with Microsoft Office
    • Proficient in Quickbooks

    Customer Service Associate

    Job Description

    Reporting to the Fenix Kenya Managing Director, the Customer Service Manager will head the Kenya Customer Service Team in developing scalable systems to support the delivery and customer support of life changing energy and financial services to rural Kenyans powered by ReadyPay

    Key Responsibilities

    Call Centre Management

    • Build and manage a world class call centre in Kenya to support Fenix’s customer base in Kenya
    • Work with local partners along the Fenix value chain to ensure that customers and Fenix partners can always have their needs addressed

    Aftersales Service

    • Work with the Fenix Kenya Operations Manager to develop systems to support a country wide after sales service network to support customers throughout Kenya to obtain service

    Customer Insights and Communications

    • Work with the Fenix Kenya National Sales Manager and partners to ensure communications to customers and Fenix partners are clear and consistent
    • Gather insights from customers through their interactions with the customer experience department to inform both strategy and interventions for improving customer experience and the customer journey

    Customer Experience Strategy

    • Set targets and communicate goals, objectives and key results across the customer experience department to relentlessly pursue an exceptional customer experience.

    Monitoring, Reporting & Optimisation

    • Monitor and evaluate internal processes by measuring and collecting data
    • Perform analysis on customer experience cost centres and drive efficiency whist maintaining standards of excellence. Identify opportunities for continuous improvement of quality and efficiency and execute
    • Report on progress towards objectives and key results

    Talent

    • Hire a team of like minded individuals, bent on providing amazing customer service and operational excellence in Kenya to perform the customer experience department functions
    • Support team development by performing regular reviews and trainings

    Required Skills & Experience

    Operations Manager

    Job Description

    Reporting to the Fenix Kenya Managing Director, the Operations Manager will head the Kenya Operations Team in developing scalable systems to support the distribution and service of life-changing energy products powered by ReadyPay.

    Key Responsibilities

    Importation, Assembly and Warehousing

    • Work with Fenix global partners to facilitate the importation of ReadyPay Power Systems and related accessories into Kenya
    • Set up an assembly facility in Kenya, to support the assembly of Fenix raw materials into finished goods available for distribution and perform incoming QC on imports
    • Work with Fenix partners to set up smart warehousing systems throughout Kenya to support distribution of ReadyPay products and accessories to the last mile

    Intelligent Inventory Systems

    • Work with Fenix global operations to develop & deploy a world leading inventory management and reporting systems to track ReadyPay products and accessories throughout the entire value chain
    • Design systems to critically assess inventory levels, rates of sale across dealers and points of sale (PoS) to determine optimal inventory allocation of ReadyPay systems, accessories and marketing materials across Kenya

    Logistics

    • Critically assess in-county logistics options, routes and costs to optimize supply chain efficiency of ReadyPay Power Systems, accessories and service items

    Aftersales Service

    • Design, develop, deploy & scale an innovative after sales services system that optimizes the cost of operations whilst delivering world class customer service

    Finance & Administration

    • Until a Finance & Administration Manager is hired,
    • Work with the Fenix Global Finance Director to set up scalable finance systems to track and report on revenues, expenditure and the cash position
    • Manage the Fenix Kenya budget
    • Manage the Fenix Kenya administration team to ensure an efficient working environment for Fenix Kenya staff

    Monitoring, Reporting & Optimisation

    • Monitor and evaluate internal operations processes by measuring and collecting data
    • Perform analysis on cost centres of Fenix Kenya operations and set targets for efficiency improvements

    National Sales Manager

    Job Description

    Reporting to the Fenix Kenya Managing Director, the National Sales Manager will head the Kenya Sales and Marketing Team in developing and managing a highly motivated sales team, backed by a targeted marketing strategy to support the sale of life changing energy and financial services to rural Kenyans powered by ReadyPay.

    Key Responsibilities

    Marketing Strategy

    • Work with the Fenix Global Sales & Marketing Director to develop and deploy a marketing strategy optimizing ATL/BTL throughout Kenya
    • Maximize sales opportunities with strategic partners including market activations, trades shows, on other similar events

    Customer Communications

    • Work with the Fenix Kenya Customer Service Manager and partners to ensure communications to customers and Fenix partners are clear and consistent

    Sales Strategy

    • Establish sales objectives by forecasting and projecting sales volumes per region for new and existing products broken down by region per sales manager
    • Set targets and communicate goals, objectives and key results across the sales team
    • Motivate the sales team to ensure Fenix hits its sales targets and grows accordingly

    Monitoring, Reporting & Optimisation

    • Report directly to the Fenix Global Sales & Marketing Director on progress towards sales objectives and key results
    • Create quarterly sales plans to share with the broader Fenix team and review weekly sales plans with sales managers in the field
    • Work closely with the Operations team to maintain sales volume by continually adapting to market conditions and communicating the desired kit mix

    Talent

    • Recruit, manage and maintain a highly productive national sales force made up of Regional Sales Managers (TDRs) and commission based agents (RPCS) to ensure national coverage and saturation of Fenix Sales Agents
    • Support team development by performing regular reviews and trainings, retaining high performing team members and finding creative ways to boost low performing sales team

    Required Skills & Experience
