    Human Resource Officer

    Ref: SGC/HRO/2/2017 

    Reports To:
    The Director/Management

    The successful candidate will provide support in the various human resource activities, which include overall responsibility of day to day management, administration and supervision of the staff at the Centre.

    Key Responsibilities

    •    Ensuring Centre’s compliance with all relevant aspects of employment law.
    •    Advising the Director/Management on employment matters including disciplinary procedures and ensuring that the Centre has appropriate or develop a disciplinary and                 grievance procedures.
    •    In liaison with all Heads of Departments, manage and maintain upto date work plans.
    •    Managing the employment, terms and conditions of service, supervision and welfare of all non-teaching staff.
    •    Ensuring that staff are well remunerated in accordance to the policy document on staff remuneration subject to approval from the Director/Management.
    •    Ensuring that all relevant staff/casuals have contracts of employment and keeping the Centre's standard contracts up-to-date.
    •    Formulating, monitoring and implementing the Centre's HR policy to comply with the requirements of health and safety legislation.
    •    Ensuring that the Centre has adequate insurance cover at all times to include employer's liability, buildings and equipment cover, personal accident, travel insurance and other       relevant cover.
    •    Providing support to the management and all staff on various HR aspects including performance appraisal, personnel administration, industrial relations, HR procedures,                 counselling, leave & grievance management.
    •    Coordinating selection, recruitment, induction, on-boarding of staff and processing clearance forms for exiting staff.
    •    Arranging for staff accommodation and dealing with the letting of property to Centre employees and third parties; ensuring that the tenants sign the lease agreements with           the Director/management approval.
    •    Maintaining upto date staff records and data in manual files. Generating reports and staff data analysis.
    •    Liaising with Centre administration on handling matters related to Unions and court cases.
    •    Day to today running of the Human Resources office.
    •    Any other duties that may be assigned by the Centre management.
     
    Key Qualifications/Experience

    •    Diploma/Bachelor’s degree in human resource is essential.
    •    KCSE mean grade C+ (Plus) and above.
    •    At least 4years experience in human resource practice.
    •    Work experience at an educational institution will be an added advantage.
    •    Proficiency in Microsoft Office applications.

    •    Working knowledge of Kenya Labour Laws
    •    Effective spoken and written communication skills including the ability to prepare reports, proposals, policies and procedures.
    •    Strong interpersonal skills, with welcoming attitude and positive disposition when dealing with people and challenges.

    Bursar/Finance Officer

    Ref: SGC/BFO/1/2017 Bursar/Finance Officer

    Reports To:
    The Director/Management

    The successful candidate will oversee day to day management and supervision of the financial and accounting aspects of the Centre, while coordinating the development of the Centre’s budget, oversee implementation of policies and design internal controls to comply with generally accepted accounting principles (GAAP).

    Key Responsibilities


    •    Preparing annual budget estimates of income and expenditure to  include  the preparation of financial budgets for the Centre in consultation with the                                           Director/Management/Board.
    •    Monitor budget allocations, income, expenditures, fund balances and related financial activities for the purpose of ensuring that accurate allocations, expenses are within                 budget limits and/or fiscal policies are followed. Besides, presenting regular variance reports to the Director/Management/Board
    •    Generate periodical financial reports on revenue, expenditure, cash management and cost projections for decision making and in accordance with the IAS.
    •    Advising on investments in consultation with the Director/Management/Board
    •    Coordinate external personnel including auditors, donor representatives and regulators.
    •    Preparing monthly payroll and remitting all statutory deductions (PAYE, NHIF, NSSF)
    •    Maintaining debtor and creditor ledger.
    •    Preparing financial appraisals of particular projects in terms of planning and cost evaluation.
    •    Advising on the financial implications of the charitable status of the Centre.
    •    Managing and evaluating accounting systems for the Centre to ensure accountability.
    •    Maintaining assets register.
    •    Acting as correspondent with donors and sponsors and being responsible for the accounts records and returns required with the Director’s approval.
    •    Facilitating the construction of new buildings, obtaining tenders, planning permission, liaison with Centre Director, management, architects and contractors.
    •    Ensure that the Centre is in compliance and duly follows public procurement oversight authority rules.
    •    Supervision of day to day running of the accounts office and Centre finances.
    •    Any other duties that maybe assigned by the Centre management.
     
    Key Qualifications/Experience

    •    Minimum of a Bachelor’s degree in Accounting or finance.
    •    CPA part III
    •    KCSE mean grade C+ (Plus) and above.
    •    At least 5 years progressive experience in the accounting and finance senior position.
    •    Work experience at an educational institution will be an added advantage.
    •    Experience in donor fund management will be an added advantage.
    •    Experience working with various ERPs.
    •    Technology savvy with a high level of proficiency in Microsoft Office Suite.

    Storekeeper

    Ref: SGC/SK/3/2017 

    Reporting To:
    Bursar/Finance Officer/Director.

    The successful candidate will be responsible for all operational aspects of managing Centre’s stores. Maintaining current and accurate store inventory records and reports, which should clearly reflect on items ordered, received and issued.

    Key Responsibilities

    •    Ensure that items/goods received are of quality and quantity ordered and in accordance with agreed prices.
    •    Post GRN in the School ERP System.
    •    To ensure that all items/goods are stored correctly.
    •    To complete all documentation and take the necessary action in cases of non delivery, substandard deliveries or overpricing.
    •    To ensure maximum security of all storeroom areas, ensuring that no unauthorized person enters the stores or is issued a key allowing access.
    •    To inform management and follow agreed procedures in case of spoilage or damage of any items/goods.
    •    To take stock at prescribed intervals.
    •    To ensure correct stock rotation and that issues are effected on first in first out basis
    •    Review stock levels to ensure shortages are being reported in time if any.
    •    Follows an internal requisition schedule.
    •    Works in close co-operation with all department heads and keeps control over items in stock.
    •    Timely provision of upto date stock reports.
    •    Comply with Centre’s safety standards and procedures all the time.
    •    Any other duties that may be assigned by the Centre management.

    Key Qualifications/Experience

    •    Certificate/Diploma in procurement and supply chain management or Diploma in Store Keeping.
    •    KCSE mean grade C- (Minus) and above.
    •    At least 2 years working as a storekeeper.
    •    Knowledge of ERP
    •    Proficient in Microsoft Office applications.
