    Human Resources Officer

    Job Summary

    We are looking for a Human resources officer to join our team. The individual should have a minimum experience of 3 - 4 years with a degree or HND in HR Management. They should also have a membership with IHRM.

    Responsibilities

    • Talent Acquisition:
      • In liaison with the Vertical HR Head and Group Recruitment resource partner with the CEOs/HODs to conduct Manpower Planning for the company.
      • Accountable in recruiting efforts such as coordinating interviews with the managers, assist in conducting phone screenings, participate in interviews, recommend new sources for candidate recruiting, manage job postings on various platforms.
      • Conduct interviews for junior positions in partnership with the HOD as required to select the best suitable option for the position.
      • Ensuring background and reference checks are completed
    • On-boarding:
      • Ensure a smooth and welcoming onboarding procedure in place and implemented.
      • Ensure that all employees have gone through the onboarding process.
      • Prepare/update induction and orientation manual for new employees.
    • Leave and Attendance Management:
      • Manage leave and attendance system and take measures that all the employees follow through the same in all companies in the Vertical.
      • In liaison with the Vertical HR Head address highlighted problem cases of attendance and work with the management and supervisor to correct the same.
      • Ensure all employees going on leave has filled the leave forms and taken required approval for concerned authority. Any problem issues to be addressed.
      • Manage the HRMIS system.
    • HR Policies and Procedures:
      • Critically assess and in liaison with the Vertical HR Head develop policies in line with internal and external influences.
      • Support in review and implement organizational rules and regulations in consultation with the Vertical HR Head, union. i.e. HR manual, CBA, Code of conduct, employment act, environmental policies, safety policies etc.
      • To ensure the organizational policies as well as employment regulations are strictly observed by all stake holders in the company.
      • Support the Vertical HR Head in CBA negotiations.
    • Wage and salary administration
      • Conduct internal audits to ensure statutory compliance requirements i.e. NSSF, NHIF, PAYE etc.
      • Conduct internal audits to ensure employees personal details are acquired and on record.
      • Conduct internal audits to ensure proper management of all employee salaries and observing labour wage regulations
      • Ensure fully and smooth implementation of negotiated CBA salary scales
      • Put up a process of ensuring that all employees under go performance appraisal annually.
      • Facilitate payroll variable inputs.
      • Review and prepare reports on Overtime
    • Law observation and compliance
      • Ensure that all HR activities and operations conducted by the organization are statutory compliant.
      • Support in facilitation of statutory required certificates and licenses are obtained and properly kept for easy retrieval when needed.
      • Ensure all required statutory audits and reports are timely done and obtained. i.e. fire safety audit and reports, environmental safety audits and reports, etc.
      • Implement and observe CBA regulations,
    • Performance Management System
      • In liaison with the Vertical HR Head and HOD’s support implementation of the performance management system fairly and on time and follow through on performance outcomes.
      • Coordinates the Identification of poor performers and ensure they are put on performance improvement plan, timely pursued and close them with proper action.
      • Coordinates identification of top performers and in liaison with the Vertical HR Head take proper steps to retain them and keep them motivated.
    • Training and Development
      • Coordinate training needs in collaboration with Vertical HR Head, CEO & HOD’s, develop the training calendar, source for trainers and ensure training programs are deployed and effectiveness is measured across the Vertical.
      • Planning, and sometimes delivering, training, including inductions for new staff.
      • Organize and facilitate statutory trainings.
    • Talent Management
      • Work with Vertical HR Head and line managers to implement innovative retention strategies.
      • Be a change agent and specifically coordinate the implementation of the company’s happiness culture initiative.
      • Deploy appropriate communication tools throughout the organization, including communication with external parties and enhance the company’s brand
      • Working closely with departments, increasingly in a consultancy role, assisting line managers to understand and implement policies and procedures.
    • Health & Safety and WIBA
      • Ensure all regulations are compiled to in regards to work place health and safety i.e. OSHA, WIBA.
    • Conduct OSHA trainings
      • Put in place a process to ensure all insurance claims are done timely and all claims paid.
    • Operational/ Reports
      • Generate accurate and timely HR reports in the required format as requested by the Management.
