    Housekeeping Supervisor

    OVERALL RESPONSIBILITY
    The Housekeeper Supervisor ensures that ICRC premises are clean and supervises a team of Housekeepers.

    Duties & Responsibilities

    • Supervise the housekeeping services and ensure that the tasks are done properly;
    • Report anomalies to the premises responsible or to the head of maintenance without delay;
    • Performs daily visit to the assigned residences and monitor work of the housekeepers, conducts trainings, guidelines and gives and takes feedback;
    • Shares the weekly reports to the concerned based on house visit and follows-up progress;
    • Ensure proper planning of the housekeepers in each residence considering the workload and without any discrimination;
    • Do spot checks in the residences;
    • Implement and update the checklist of task to be filled by the housekeeper in every residence;
    • Is responsible for the inventory of ICRC premises;
    • Report any discrepancies of inventory to the premises responsible;
    • Coordinate ordering and replenishing house items as per the standard lists;
    •  Write and implement the standard operating procedures and weekly reports;
    •  Manage, appraise and assess the housekeepers in various residences;
    • Keep housekeepers informed of events, decisions, rules and other changes introduced in the delegation;
    •  Handle complains, and requests linked to housekeeping;
    •  Supervise coordinate with outsourced cleaners to ensure all offices are properly cleaned and report any issues to the premises responsible;
    •  Understands and supervises the Performance Management & Development (PMD) activities for employees under their supervision;
    • Engages in ongoing and continuous feedback and support, particularly for employees under their supervision, but also other staff members;
    • Plans and coordinates the annual leave of the employees under their supervision ensuring continuity of the operations throughout the year and making sure that there are no outstanding holiday balances at the end of the year;
    • Coordinates and supports the employees under their supervision in their personal development by coaching and advising them on internal and external training and development possibilities.

    Qualifications

    • Minimum relevant Diploma in Hospitality Management;
    • Minimum 3-4 years’ experience in a similar position, preferably in hotel housekeeping management;
    • Previous working experience with International Organizations (preferred);
    • Excellent command of written and spoken English Advanced computer skills (Word, Excel, Power Point);
    • Ability to problem solve quickly and prioritize daily tasks according to their importance;
    • Attentive to details with high sense of confidentiality and integrity;
    • Good presentation and analytical skills;
    • High degree of flexibility and responsiveness.

    Welcome Assistant

    OVERALL RESPONSIBILITY

    The Welcome Assistant helps ensure that Welcome activities are organized smoothly, including coordination of pick-up/drop-off of ICRC staff and guests, travel arrangements, visas, permits, official registration and accommodation.

    Duties & Responsibilities

    •  Process application of work permits, dependants pass;
    • Process Country Visas for professional travels in the absence of colleague;
    • Liaison with Ministry of Foreign Affairs (MFA) and immigration and various Governments Departments;
    • Work/Residence permit issuance application;
    • Exemption work permit endorsement;
    • Update the clients on the progress of the applications and any other concerns;
    • Liaison with MFA and Immigration and Various Government Departments;
    • Ensure applications for work permits for mobile staff and their staff dependants are processed within the stipulated timeframe
    • Follow up with MFA on delayed approvals of permits & visas;
    • Inform management on the changes in MFA and other departments concerned like Immigration and Kenya Revenue Authority;
    • Preparation and sending of the beginning of mission file to new delegates;
    • Update the Pending Cases Tool in TeamSpace;
    • Replace / assist other Welcome Officers for basic tasks if necessary;
    • Maintain functional peer relationships and detailed working knowledge of the assigned area’s systems, organization and business processes.

    Qualifications

    • Minimum Diploma in Travel & Tourism or equivalent;
    • Minimum 3-4 years’ experience in a similar position;
    • Previous working experience with International Organizations (preferred);
    • Excellent command of written and spoken English;
    • Advanced computer skills (Word, Excel, Power Point).

    Housekeeper

    OVERALL RESPONSIBILITY

    The Housekeeper ensures that ICRC premises are clean.

    Duties & Responsibilities

    • Plans and performs the daily, weekly, biweekly, monthly, quarterly and yearly cleaning activities of the premises;
    • Provides cleaning/housekeeping/laundry services in the assigned ICRC Premises;
    • Ensure cleanliness and hygiene of the assigned premises;
    • Ensure presence during ongoing maintenance works especially done by external agencies;
    • Ensure rational use of the utilities in the residences. Turn off lights, heating equipment, water etc. when not in use. Report any wastages of those utilities;
    • Help disseminate the sustainable development initiatives of the ICRC to the mobile staff and their family when necessary;
    • Ensure rational use of cleaning materials, chemicals and detergents to help protect the environment;
    • Help the mobile staff to segregate the waste at source by separately collecting the recyclable wastes generated in the residences;
    • Reports all problems of the residence before and during maintenance exercise;
    • Check the level of water and gas in assigned place and report for refilling without delay;
    • Communicate with mobile staff regarding premises or cleaning issues;
    • Informs hierarchical superior about any issues regarding the premises (material used to carry out duties, other material malfunction, damaged furniture, premises degradation, etc.);
    • Is responsible for the inventory of the house, thus updates the housekeeping supervisor for any loss, damage or addition of the ICRC items in the assigned residence;
    • Ensure all passive security equipment are in working condition and activates the alarm system before locking the premises.

    Qualifications

    • Minimum KCSE or equivalent;
    • Relevant Certificate in Housekeeping;
    • Minimum 2-3 years’ experience in a similar position;
    • Previous working experience with International Organizations (preferred);
    • Good written and spoken English;
    • Attention to detail and meticulous use of proper safety procedures;
    • Good interpersonal and communication skills.
