    Events Coordinator and Programme Management Support Consultant

    Duties and Responsibilities  

    The consultant's main responsibility will be to support the activities of the Local2030 Coalition Secretariat, specifically in terms of (i) Global events and (ii) Programme management support for the Local2030 Hubs.  

    Specifically, the consultant will be responsible for the following tasks:  
    Global events:  

    • Monitor and identify strategic advocacy opportunities to ensure the strong presence of the Local2030 Coalition in key SDG localization events and coordinate the Coalition's and its members' engagement in such fora.  
    • Draft talking points, speeches and brief notes for the Local2030 Coalition Secretariat, Co-chairs and members to facilitate their participation in key events.    
    • Prepare the necessary documentation for organising and planning events and workshops, including conceptualization, invitation letters, programmes, moderators' and speakers' brief notes, thank you letters, etc.  
    • Liaise with the Local2030 Coalition members regarding the substantive content and contribution to the events and workshops.  
    • Liaise with relevant member states, local and regional governments, UN entities, donors, academia, civil society and private sector partners to organise and partner for the events.  
    • Manage on-site logistics for meetings and events, as needed and supported by the Local2030 Coalition Secretariat.  
    • Provide full reports, key messages, and follow-up actions after the events conclude.  

    Programme management support for the Local2030 Hubs:    

    • Support the revamp of the Local2030 Hubsin line with the new ToR.  
    • Prepare and support the drafting of MoUs, Agreements of Cooperation, risk mitigation on using UN branding, or any other legal instruments to consolidate the Local2030 Coalition’s partnership with the Local2030 Hubs in consultation with administrative and legal staff.  
    • Support new Local2030 Hubs in submitting their application for the approval of the Local2030 Coalition Steering Committee.  
    • Prepare coordination meetings with the Local2030 Hubs, including developing briefing notes, agendas, minutes, etc.   Provide operational guidance as requested by the Local2030 Hubs, ensuring the correct implementation of advocacy, action, and monitoring activities.  
    • Prepare periodic reports about the Local2030 Hub’s activities and contributions to the Local2030 Coalition.  

    Reporting Line  

    • The position is located in the Local2030 Coalition Secretariat, as part of the Urban Practices Branch (UPB) within the Global Solutions Division.
    • The incumbent will be supervised by the Programme Management Officer, Local2030 Secretariat, and the Head of the Secretariat.
    • The expert will work in proximity to the other members of the Secretariat and of the Local2030 Coalition and key partners.

    Qualifications/special skills

    • An advanced university degree in public affairs, political science, social sciences, urban studies, social sciences, communications, development studies, or other relevant areas is required.
    • A minimum of five (5) years of relevant working experience in organising events and programme management (required).  
    • Working experience on the 2030 Agenda and the local implementation of the SDGs and issues related to sustainable development, urban planning, local development and project management will be highly valued.

    Languages

    • Fluency in English is mandatory for this specific consultancy. Required. Knowledge of another UN official language is an asset.

    Staff Assistant

    Responsibilities

    • Assists in the overall administration of the department/division, i.e. provides substantive and administrative support in managing priorities and workflow of the manager and of the work unit; coordinates and monitors multiple and diverse activities and work processes to ensure that management directives and decisions are properly carried out and products delivered in a timely manner.  
    • Compiles and analyzes basic data from a variety of sources (including Umoja), summarizing and presenting conclusions for review by manager.  
    • Serves as a communications link between supervisor and senior staff; on behalf of supervisor, keeps others informed by conveying directives, reports, status updates and other relevant information; brings sensitive and urgent matters to the attention of the manager.  
    • Takes full responsibility for time management and scheduling on behalf of manager with appropriate consultation as required; effectively prioritizes and resolves related conflicts and competing demands.  
    • Undertakes representational duties on behalf of the manager, to include serving as first point of contact and liaison with senior officials internally and externally.  
    • References: prioritizes all incoming correspondence; compiles relevant background documents and references; identifies issues requiring the manager’s attention and refers others to relevant officer for appropriate disposition; monitors and follows-up on actions to be taken.  
    • Researches, compiles and summarizes background materials for use in preparation of reports, briefs and speeches; scans reports from specialized agencies, as well as newspapers, magazine, periodicals and other information sources to identify articles of interest to the manager.  
    • Independently handles a wide range of complex information requests and inquiries (e.g. answer requests requiring file or other research); responds, or drafts responses, to a diverse range of correspondence and other communications.  Supports the manager in presentations to intergovernmental bodies and other meetings, researching issues, preparing briefing notes, slides and subject files, gathering relevant documentation.  
    • Establishes/improves administrative procedures and systems to ensure smooth functioning of the department, including filing (paper and electronic) systems.
    •  Oversees work of office support staff; establishes priorities and deadlines, assigns work and reviews outputs upon completion; trains office support staff in administrative, protocol and other relevant procedures.  
    • Organizes official receptions and meetings. Handling all necessary arrangements (e.g. room reservations, guest/participant lists, invitations, catering, seating arrangements, background documentation and special equipment).  
    • Prepares, processes and classifies confidential information.  
    • Handles a wide range of administrative duties/processes (e.g. leave and attendance records, timesheets, travel arrangements, visa applications, expense statements, telecommunications charges, equipment purchase, service and supply requisitions, conference room bookings).    
    • Exercises quality control function for all outgoing documents; proofreads and edits texts for adherence for format, grammar, punctuation and style.  
    • Uses standard word processing package to produce a wide variety of large, complex documents and reports.  
    • Manages, updates, and further develops internal databases; updates website; generates a variety of standard and non-standard statistical and other reports from various databases.  
    • Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making.  
    • Assists with visualizations and updating information material such as web pages or brochures.  Performs other duties as assigned.

    • Within overall years of experience at least five (5) years dealing with time-sensitive and confidential administrative matters supporting senior level officials is desirable.    
    • Experience working with ERP systems, such as Umoja, is desirable.   
    • Experience within the United Nations System or similar multinational organization is desirable.    
    • One (1) year or more of experience in data analytics or related area is desirable

    Communications and Outreach Consultant

    Specifically, the consultant will be responsible for the following tasks:  

    Strategic communication planning:  

    • Undertake strategic communications planning and regularly update the communication strategy and calendar to increase visibility and raise awareness for the main activities of the Local2030 Coalition.  Build upon the existing brand identity of the Local2030 Coalition to develop a comprehensive brand guideline and brand identity kit.   Act as the Local2030 Coalition focal point for coordinating all communication efforts with communication focal points of the Local2030 Coalition co-chairs (UN-Habitat and FAO), UN Entities, Steering Committee members, Local2030 Hubs and other partner organizations where relevant.   Oversee metrics and evaluation of communication approach in the short and long term to ensure effective strategies and adjustments where performance is not optimal.   

    Content and messaging development:  

    • Collaborate with subject matter experts to distil complex information into accessible and engaging materials.  Prepare newsletters to disseminate information and results of the Local2030 Coalition with its network.  Provide technical expertise to promote major publications, events and other activities through communication materials (social media flyers, posts, online stories, etc.) and coordinate its dissemination through the Local2030 Coalition network. Develop and maintain website content, collaborate on website design updates, ensure brand consistency, implement SEO strategies, and enhance user engagement through interactive features and analytics monitoring of the Local2030 Coalition website (https://www.local2030.org/).  Edit, format, and disseminate Local2030 Coalition’s publications. Carry out graphic design work for printed and online information products for office spaces, events, and missions and distribute it to partners.Generate compelling and informative content, including press releases, articles, blog posts, video materials and social media updates.  Develop speeches and corporate messaging for high-level personnel and occasions.

    Research and Policy Consultant for World Urban Forum 12

    Duties and responsibilities

    The consultant will work under the overall guidance of the Director of ERSKID, and will be responsible for the following duties:

    • Technical support and inputs to the internal WUF Task Force headed by the Executive Director and constituted of all UN-Habitat Divisions
    • Research and drafting of background papers on selected themes of the WUF including on housing, smart cities and climate change
    • Compilation and analytics of data in support of the preparation of substantive sessions at WUF12
    • Substantive and coordination support for the organization of the main Dialogue session of the WUF overseen by the Director of ERSKID
    • Coordination support with relevant partners and stakeholders for the organization of WUF
    • Substantive organization and coordination of the launch of the World Cities Report at WUF
    • Coordination and substantive support on ERSKID’s engagement with the Office of the Executive Director on WUF 12
    • Substantive inputs on other corporate processes related to WUF including UN-Habitat’s Strategic Plan 2026-2029; Summit of the Future and UN-Habitat’s intergovernmental bodies
    • Substantive support for the impact strategy and monitoring of WUF 12 before, during and after the session
    • Substantive support and coordination towards the preparations of WUF 13 in Baku, Azerbaijan

    Qualifications/special skills

    • Advanced university degree (Master's degree or equivalent) in business administration, public administration, economics, urban planning, social science or a related field is required. A first university degree with a combination of two additional years of qualifying experience may be accepted in lieu of the advanced degree. Five years of varied experiences with international organizations and/or significant previous background in institutional environment of development cooperation (NGOs, UN system, multilateral cooperation, etc.) is required.

    Languages

    • English and French are the working languages of the United Nations Secretariat. For this position fluency in oral and written English is required. Knowledge of one or more official languages will be an advantage.

    Project Manager – Individual Contractor

    Under the overall supervision of UNITAC Manager, and the Chief of Knowledge and Innovation Branch, the individual contractor will perform the following duties and responsibilities:

    • Prepare internal project progress tracker for both projects to present at regular Project Management Committee (PMC) meetings.
    • The project progress tracker should be aligned to the workplans of each project.
    • Provide technical support in the management of project budgets as well as procurement and recruitment needs.
    • Monitor potential blocks, delays, decision making needs and resources required for the implementation of the projects.
    • Follow up on issues and action items put to the PMC, and if necessary, take reasonable action to escalate issues that remain unresolved.
    • Communicate PMC decisions and requests with the project teams and visa versa.
    • Prepare reports to BMZ, UN-Habitat and internal reports, etc. at various stages of the project.
    • Participate in missions if requested.
    • Report to the Programme Lead and UN-Habitat representatives from the regional offices

    Qualifications/special skills

    • A Bachelors’ degree in Business Management, Commerce, Urban Studies, or Social Science is required.
    • A Master's degree will be an added advantage.
    • A minimum of seven years of experience in project management for public and private institutions.is required.
    • Experience in working in and/or collaborating with a wide range of urban development and innovation stakeholders at the local and international level, such as e.g., government agencies, civil society organizations, start-ups, research institutions, city networks is desirable

    Languages

    • English and French are the working languages of the United Nations Secretariat. For this position, fluency in English is required. Knowledge of German is highly desirable, and another UN language is desirable.
