    Executive Secretary (Reliever)

    Job Responsibilities
    Office Function

    • Arrange ticketing for SG at least one week before a trip and provide information on weather conditions at destination. On return, ensure trip reconciliation within 24 hours of return from trip
    • Arrange visa to be ready for trip at least two weeks before the trip. Ensure reconciliation of visa receipts within 24 hours of payment for the visa.
    • At least 2 days before a trip, per diem and any documents (e.g. working documents, magazines) to be carried for any meeting to be ready and handed to SG.
    • Send out accurate invitations for meetings at least 30 days before Executive Committee (EXC) or Annual General Assembly (AGA)
    • At least two days before meetings, water/refreshments and other logistics to be ready
    • Write minutes as directed and the minutes be completed within 3 working days from end of meeting.
    • Maintain up-to-date and accurate contact details for CEOs, partners and invitees to AFRAA AGAs and other events. Hard copy of updated list of CEOs to be given to the Secretary General every first week of each month
    • Ensure signed Minutes of EXEC and AGA meetings are filed and readily available at all times
    • Ensure minutes of EXEC are sent to the Chairman within 2 weeks of EXEC meetings and sent to all EXEC members within 2 working days of receipt from the Chairman.
    • Prompt the Secretary General (SG) about actionable matter arising from EXEC/AGA meetings according to timelines in Summary Decisions
    • Each time there is a new member CEO appointed or key industry partners or regional international organization, draft a congratulatory letter for the Secretary General to sign within 2 days of receipt of the information
    • Carry out translations into French as directed before 30 days to the relevant meeting (EXEC or AGA)

    Administrative Functions

    • Application for renewal of contracts to be made at least two months before expiry date of contract
    • Observe AFRAA working hours especially that work starts at 0830 hours at all times
    • Answer phone within first 3 rings
    • Within 24 hours before a trip, ensure that a memo about the Director/Manager designated to act in the absence of the SG is signed and distributed to staff
    • Dress smartly and decently during working hours
    • Maintain office area in a neat and tidy manner at all times and ensure chronological and regular filing of documents at least within 12 hours of completion of tasks
    • Maintain accurate diary of SG meetings every Monday or if it is a holiday, the next working day Relations
    • Work cooperatively with other staff in AFRAA whenever carrying out your duties
    • Arrange for presents and gifts for CEOs and other senior guests visiting AFRAA at least two days before the visit.
    • Quality Objectives
    • Must be calm and be able to work under pressure for example during conferences/meetings
    • Maintain confidentiality in all matters pertaining to the office of the SG
    • Ensure that the office area is not unduly noisy during working hours
    • Report incidences of indiscipline by staff such as absenteeism, poor time keeping, poor performance of duties whenever they occur
    • Any other duties as you may be allocated by your supervisor from time to time

    Requirements:
    Minimum Qualifications

    • Bachelor’s degree in Business Administration, Communications or equivalent.
    • Relevant work experience in offering executive office support.
    • Fluency in written and oral French plus English is a MUST.

    Area Manager

    Key Responsibilities 

    • To proactively manage and implement all aspects of developing a Kumon centre, ensuring that the centres in the area reach and maintain the expected quality standards enabling them to meet growth and quality and achievement targets.
    • To maintain close working relationships with franchised Kumon Instructors throughout assigned area.
    • To regularly visit and maintain regular contact with all centres within the assigned area and to provide timely and detailed management information to line manager i.e. current performance levels, proposals and guidance information on improvement areas as well as detailed strategic improvement and development plans where necessary.
    • Large autonomy of work schedule which must include regular individual meetings with Instructors, Class Visits, attendance and conducting student enrolments and attendance at local centre events i.e.: High Level Achievement Awards.
    • To proactively and consistently provide adequate support and guidance for Instructors, i.e. offering tactics and advise on achieving targets, advise on local advertising options; centre promotion, improving retention and growing their centre, centre management and administration, etc.
    • To be responsible on an ongoing basis for organising and facilitating training/workshops, presentations and meetings for Instructors in a timely manner that meets the needs of both the Instructors and KESA.
    • To monitor Instructors performance and conduct regarding the delivery of Kumon Method and Brand and to draw any concerns to the Team Leader’s attention, together with a strategic plan of remediation.
    • To run a Kumon Centre, as an Instructor, for a period of time or as and when required.
    • To work and liaise closely with other Associates within the same and other departments to develop effective systems and good practice within the Centre Development and Instructional development function.
    • Provide practical guidance and support to Instructors in marketing their centres e.g. organising group adverts, advising on centre promotion etc.
    • To oversee centre closures and take-overs.
    • To work closely with the Team Leader to identify any issues and concerns regarding Centre Development and implement change as and when required.
    • To be assigned in project work as and when required i.e. organising Instructor workshops, cluster meetings and organising and co-ordinating Instructor events on a local and national level such as annual Instructor conference.
    • To assist and support Instructors to complete the programme, through proficiency in Kumon worksheets.
    • To work closely with and support Instructors in nurturing high achievers through to completion of the programme.
    • To build and maintain thorough product knowledge through self-completion of Kumon worksheets.
    • To be proactive and committed to an ongoing programme of professional self-development.
    • To produce, monitor and review accurate records including statistical information as and when required.
    • To attend or supervise, trainings and meetings as and when required. There may be a necessity for these to be outside of normal working times at weekends for which overtime would be awarded.
    • To work with, abide to and positively promote all KESA’s policies and/or procedures.
    • To carry out all reasonable duties as and when requested by your line manager or any other senior management member.
    • To actively and strategically work towards the achievement of personal objectives as set out annually during performance appraisals.

    Other Duties

    •  When running a Kumon centre, you will be responsible for Centre Assistants.
    •  To be responsible for the support, development and performance of a number of franchised Study Centres Instructors

    Skills and Attributes

    • Professional manner
    • Enthusiasm for learning and development
    • Great communication skills (written and verbal)
    • Experience and or working knowledge within education and a practical understanding of franchise business would be advantageous but is not essential.
    • Strong ability in Math and English is essential.
    • Good presentation and training skills.
    • Computer literate on MS Office
    •  Communication skills.
    •  Training and facilitation skills.
    • Valid driver’s license.
    • Ability to travel.

    Required Academic Qualifications, Experience and Competencies

    •  Must hold a recognised degree or higher in Business Management / Psychology or education. With atleast 5 to 7 years of relevant working experience.
    •  Business management experience preferable.
