Main Purpose
Control cash movements in the mission box checking compliance with MSF rules and protocols to have a trustworthy record of the movements of existing cashboxes.
Accountabilities
- Perform coding and record cash transactions in the daily cash book.
- Check the validity of the invoices and that identification codes are correct.
- Check the documentation and authorization to withdraw money from cash.
- Control and monitor cash payments from the cashbox.
- Perform currency exchange operations.
- Perform daily check-ups of the cashboxes to investigate the possible differences and their causes.
- Prepare payments of salaries and allowances.
- Perform monthly reconciliation before closing the monthly accounts.
- Follow-up cash advances and ensure they are duly refunded.
- Carry out transfer requests between cash and safe box.
- Manage bank reconciliations and monthly bank statements.
Requirements
Education
- Qualifications or professional Diploma in Business administration / accounting.
Experience
- Experience in accounting (minimum 1 year).

Objective of the Position:
Execute administrative tasks and do follow up of project accountancy, according to administration manager’s indications and MSF procedures, in order to ensure legal compliance and keep a strict control over monetary resources.
Responsibilities include, but are not limited to: –
- Execute administrative and legal related tasks, under supervision of the Administrator Manager, checking payroll calculations and updating personal files in order to ensure accuracy, compliance and on time payments.
- Implement cash management procedures in order to ensure the highest control and security, and ensure cash availability.
- Prepare employment contracts in conformity with legal requirements including specific amendments when necessary in order to ensure local labour and fiscal law compliance.
- Enter data into the HR database and personal files and keep them up-to-date in order to facilitate HR processes management.
- Update Social security Tax office employee files in order to meet legal requirements and duties.
- Draw up monthly pay slips for all staff, editing and updating the necessary data, in order to ensure the punctuality and accuracy of staff payroll.
- Draw up the final pay slip and employment certificate at the end of a contract in order to meet legal requirements while defending MSF ’s interests.
- Follow up all expiring rental contract dates and inform the Administration Manager in order to leave enough time to arrange a renewal or look for some other alternative.
- Assist the administration manager in the prevision of monthly treasury and planning in order to ensure the coverage of daily needs, advances on salaries, payroll, etc.
- Process the payment to suppliers and keep strict on all documentation involved, informing the administration manager of any disparity.
- Carry out all accounting tasks and activities in order to ensure strict control of all expenditures and the reliability of statements and documentation.
Qualifications & Requirements:
Education
- Mandatory: Degree in Human Resources, Finance, Business or administration related studies
Knowledge & Experience
- Essential: previous working experience of at least two years in relevant jobs
- Desirable: experience in MSF or other NGOs in developing countries
- Proficiency in Microsoft Office

Main Purpose
Performing autonomously, specific complex / advanced installation, maintenance works and repairs depending on technician’s specialization (requiring special/qualifications/training), according to supervisor’s instructions and MSF standards and procedures, in order to ensure a proper functioning and maintenance of MSF equipment, installations and infrastructures.
Accountabilities
- Performing autonomously, all necessary installations, maintenance and repairs, according to the supervisors’ instructions and executes any needed tests after any repair or maintenance.
- Making suggestions regarding any repair or maintenance work needed in MSF electrical and water installations, equipment and/or vehicles and assisting logistics department for any relative work needed.
- Managing the stock of consumable items, filling in the stock cards, carrying out physical stock inventories, executing orders necessary for renewing stock, avoiding any shortage.
- Responsible for the equipment and tools, including extinguishers, checking they are correctly and safely used, maintaining and renewing them when necessary and keeping the inventory updated.
- Keeping working area clean and tidy.
- Ensuring that all record sheets and books related to logistical maintenance are always completed. Preparing needed reports before and after any repair or required maintenance.
- Immediately informing the line manager of any problems that arise in the course of the work, particularly with regard to damage, loss, theft or attempted breakings.
Repairs and maintenance
- Ensure facilities remain in good state (plumbing, lighting, roofing, furniture etc.) by performing high quality preventive and corrective maintenance.
- Maintain high quality maintenance to ensure equipment remain in good state (power supply, cold chain, energy, maintenance tools etc.).
- Supervise out-sourced technician and daily workers in case of need.
- Follow-up projects equipment repairs sent to Nairobi and keep the field logs informed.
Power supply and cold chain
- Perform minor repairs of generators, cabling, chargers/inverters, batteries, protection devices etc.
- Supervise (and assist) technician in maintenance of cold chain, lighting etc.
Expat support in the capital
- Responsible for capital technical briefings.
- In charge of expat houses maintenance in capital, fire safety equipment & alarm systems
Security management
- Ensure all guards are vigilant and security aware.
- Together with LogCo/Deputy ensure that communication checks with the projects teams on a trip or outreach and vehicles is executed according to the procedures and security-guidelines
- Proactively communicate information about security issues concerning the projects and the capital
ICT and radio communication
- In charge of radio comms equipment installation, preventive and corrective maintenance
- Responsible for monthly maintenance of satellite equipment
- In charge of OCG premises internet setup and invoices follow-up
- PC users support in the coordination office
Water Supply and vector control
- Ensure sufficient water supply in all premisses, see that there are enough storage capacity, showers are in good working condition, plumbing works well maintained and checked regulary
- Draft the schedule for the vector control in all OCG premises in the Nairobi
- Ensure all beds are fitted with LL mosquitonets
Requirements
Education
- Essential : Diploma or recognized formal training in ICT Electricity and/or Plumbing
Experience
- Essential Demonstrate experience in his/her technical area,at least two years previous working experience.
- Desirable in MSF or other NGOs
