    Project Coordinator - CESP

    Key Responsibilities:

    ADP Coordination and Accountability

    • Coordinate achievement of programmatic objectives; planning, implementation and review of progress/DIPs, budget Utilization and ensure managers approval and endorsement of all plans
    • Coordinate regular planning, accountability and follow up of key performance indicators and overall quality assurance matters
    • Coordinate and follow up external engagement, collaborations and advocacy ensuring that WVK is well represented and highly profiled as a leading child focused organization
    • Represent the Area Manager in County engagement forum as may be delegated
    • Coordinate resource acquisition initiatives within the AP
    • Facilitate Integration of CESP and other Technical Projects and grants within the AP
    • Support strengthening of Child protection, participation and safeguarding systems and mechanisms for effective referral and reporting
    • Coordinating ADP staff, office managements & logistics ensuring great team work and efficiencies in execution of duties.

    Community Engagement Sponsorship Program implementation

    • Facilitate development of CESP project annual operating plan (AOP)
    • Roll out Child Protection Minimum Programming Standards in the AP using approved programming models.
    • Ensure Child protection, participation and safeguarding is integrated in the monthly, semi-annual and annual reporting
    • Ensure integration of RC in CPP&S projects/activities as beneficiaries
    • Ensure Child protection, participation and safeguarding responsive programming with specific consideration of the objectives and indicators
    • Ensure timely implementation of activities and budgets sustained at acceptable level
    • Facilitate implementation of CPP&S program and projects.
    • Support effective integration of Sponsorship operation interventions with other projects in the program.
    • Coordinate integration of Faith and Development Models: CFC, EWV, DNHFLs, SNC, COH, SSF and the facilitation of spiritual nurture of children in the AP
    • Support in the asset mapping against RC
    • Coordinate the implementation of micro projects in the AP.

    • Facilitate coaching and mentoring to the AP sponsorship staff in order to attain better results in the sponsorship performance indictors/Dashboard.

    • Ensure integration of advocacy and gender, equality and social inclusion (GESI) in all technical projects implemented in an AP.
    • Coordinate integration of Faith & Development modules within the AP programmes and activities.
    • Coordinate Integrated Sponsorship planning and monitoring

    Sponsorship operations

    • Gift Notifications (GNs) are tracked, processed, closed at AP and NO and acknowledgement documentation sent to SO within the standard timeline as per the respective SO requirements.
    • Correspondences (SLs, ILs, queries, ELs etc) are tracked and processed within the standard time.
    • Facilitate production of sponsorship 2.0 products (Child Greeting Video (CGV), Child Special Moment Videos (CSMVs), Community Introductory Videos (YIVs) and Community Annual Photos (YAP)) as per guidelines/standards and timelines
    • Ensure RC level are maintained as per the AP plan
    • Ensure overage RC records are dropped as per standards
    • Facilitate development of MOUs with LIs and timely funding of the LIs
    • Ensure CWB/case management issues are addressed as per standards
    • Facilitate timely implementation of birthday bounce backs and community gifts funding.
    • Facilitate processing of APR and Christmas cards as per guidelines and timelines – ensure business processes are followed accordingly
    • Facilitate capturing of child and family participation and support
    • Facilitate children birth registration within the AP
    • Facilitate management of RC files
    • Ensure security of sponsor addresses/contacts
    • Facilitate effective management of RC death processes – timely reporting, development of detailed report, dropping of records, verbal autopsy
    • Facilitate effective sponsor/donor visits to the AP – ensure they sign child protection protocol and complete feedback questionnaire
    • Facilitate integration of child protection initiatives and take lead in case management – reporting of cases as per WV standards, follow for actions
    • Follow up RC Case management until closure in collaborations with other technical projects/grants Staff
    • Coordinate with Safe Guarding, Advocacy and Child Participation Officer to Follow up Protection Cases involving RC and their families.

    Monitoring & Evaluation Accountability and Learning

    • Facilitate DME processes – assessments, AP re/design, baselines, project monitoring/implementation, evaluations, , transition processes,
    • Facilitate learning, review and reflection forums and documentation of best practices/change stories
    • Ensure CPP&S responsive reporting with integrated data on participation, prevention and response
    • Generating quality reports – activity reports, monthly, quarterly, semi-annual and annual
    • Management of project management information system (horizon) – DIPs, ITTs, budgets and activity monitoring
    • Ensure timely sharing of SSUI reports for management decision making
    • Coordinate training & refresher courses and conduct regular monitoring to ensure that sponsorship standards and sponsorship business processes are adhered to in the AP/Local Institutions.
    • Seek useful feedback from participants and staff that will improve future capacity building.
    • Build capacity of partners effectively to collect monitoring data on CWB outcomes.

    Engagement and networking

    • Effective representation of WVK in meetings including CPP&S stakeholder meetings at county, sub-county and ward levels
    • Effective representation of WVK in Child rights stakeholder meetings at county and sub-county levels.
    • Participate in County forums including AAC, intergovernmental gender platform, CUC among others at the sub county and ward levels as will be appropriate.
    • Facilitate community forums – for planning, joint monitoring Facilitate community forums including those that address CPP&S interventions – for planning, implementation joint monitoring
    • Participation in National/International Child rights days such as DAC, IDZTFGM, IDGC, 16 days of activism as well as other WV sanctioned days including Day of Prayer, World Vision month, etc at county and sub

    Knowledge, Skills & Abilities

    • Bachelor’s degree in social sciences or related fields (Bachelor’s degree in Sociology, Psychology, Community development, Education, Community Health, Development Studies or any other related degree from a recognized University).

    • Minimum 4 years’ experience in community development work which include Child Sponsorship Operations

    Natural Resource Management Coordinator

    Key Responsibilities:

    Project Planning, Coordination and Implementation (40%)

    • Responsible for the coordination of all Natural Resource Management activities and approaches implemented by partners in project
    • Organize training for the partners, selected groups and other stakeholders on the various recommended focal landscape restoration approached (Farmer Managed Natural Regeneration, enrichment tree planting, Climate smart agriculture, soil and water conservation, advocacy and policy influence etc).
    • Liaise with partners to prepare guiding material on key and contextual technical approaches for the project including Natural Resource Management NRM, sustainable Land management (SLM), Environment and climate change (ECC).
    • Contribute to effective and timely implementation of all NRM and ecosystem restoration field level interventions and initiatives with partners.
    • Ensure that all NRM initiatives within the projects area of influence meet or exceed planned outcomes and are implemented in full compliance with the project guidelines
    • In collaboration with the programme Finance Manager, monitor and support the timely and appropriate utilization of budgeted resources for all NRM related project interventions.
    • Develop and provide appropriate reporting tools and templates to partner organizations; ensure reporting on NRM interventions is properly streamlined and integrated with the overall programme report.
    • Attend the regular weekly and monthly planning meetings as called upon.

    Quality Assurance - Monitoring, Reporting and Documentation (30%)

    • Liaise with consortium partners, the Programme Director, MEAL Coordinator, Livelihoods & Resilience Coordinator, and Gender Coordinator to ensure that appropriate controls, monitoring and evaluation tools are in place and being utilized in a timely manner in all NRM monitoring activities.
    • Supervise and monitor project interventions in strict adherence to CAM project design requirements, Kenya government regulations and other agreed standards.
    • Develop monitoring plan for NRM interventions with partners and other stakeholders agreeing on the required standards for monitoring, with support from the MEAL Coordinator.
    • Ensure project data is captured, validated and updated on approved programme M&E system.
    • Coordinate with the Programe Director and partners to effectively support the project to carry out all measurements, baselines, assessments, designs, monitoring and evaluations - in accordance with established standards, policies and procedures.
    • In Liaison with partner organization project officers and the Finance Director, track project implementation expenditure levels and value for money on all NRM, environment and climate action activities.
    • Compile the necessary monthly, quarterly and annual reports and submit to the Programme Director.
    • Regularly document success stories / innovation for sharing across the partnership

    Advocacy, Engagement, Networking and Partnerships (15%)

    • Develop context specific electronic and live media communications on NRM activities.
    • Gather and provide quality feedback and data to be used to develop technical papers and recommendations on key issues for external engagement with decision makers.
    • Participate in the Annual County Government’s Planning and Budgeting process to influence environment, climate and NRM policy and planning for ecosystem restoration.
    • Support the programme to build partnerships with Community, relevant Government authorities, research institutions, media and other stakeholders on promoting sustainable NRM and landscape restoration.
    • Participate in Sector Technical Working groups and forums at national and county levels as will be appropriate.
    • Ensure that programme stakeholders and partners are kept informed of all the Government laws and policies in respect to NRM and any changes to government laws, policies and budgets that may affect implementation of the programme.
    • Work with the other coordinators in the programme secretariat to ensure integration of messages and communication for purposes of outreach.

    Capacity Building (15%)

    • Build the capacity of partners to enable them effectively intervene in NRM, environment and climate change.
    • Ensure integration of NRM interventions with other programme activities
    • Work with partners on developing community sensitization and information material, protocols and approaches for NRM interventions in their project contexts
    • Establish specific capacity building methodologies for effective delivery & sustainability of project interventions
    • Together with partners, conduct regular reflection and learning events;
    • Facilitate and coordinate farmers NRM exposure tours across programme counties.

    Others (5%)

    • Support and coordinate other relevant initiatives by partners in the spirit of integration
    • Perform any other duties as assigned by supervisor or designee.

    Community Mobiliser- Thrive

    Key Responsibilities:

    Project planning and implementation

    • Coordinate effective and timely implementation of all interventions outlined under Local Value Chain development and any other related and cross cutting programme activities in the project.
    • Participate in the preparation of overall work plan and budget as well as develop activity plans and budgets for technical support of local value chain development interventions
    • Participate in developing different levels of progress report (weekly updates, situational reports, quarterly, semi-annual and annual reports)
    • Supporting Project Quality Assurance (PQA) through organizing and supporting monitoring visits on L&R interventions.
    • Collaborate with relevant ministries and other relevant partners at the County and community levels to ensure integration and high level implementation the planned Local Value Chain activities
    • Work closely with relevant authorities to ensure all economic recovery and market systems interventions deployed in the communities are in alignment with L&R in emergency Standards
    • Work together with other staff/ to ensure that key trainings meets the standard required to facilitate, provide knowledge and reinforcement of desired L&R behaviour and practices.
    • Ensure that business processes, standards and guidelines related to Livelihood & resilience initiatives are effectively applied in project implementation.
    • Make technical input into the planning and design of project specific operational researches, including baseline and end line evaluation, post distribution monitoring related to L&R.
    • Conduct continuous activity and budget analysis to ensure adherence to the approved work, budget and procurement plans.

    Technical support

    • Work with communities and relevant stakeholders to identify key on-farm and off farm value chains to support
    • Support project market research on viable value chains
    • Ensure the target communities are mobilized and participate in the identified Local Value Chain Interventions
    • In consultation with other staff, government and partners sensitize and mobilize the communities to form Project Implementation units, producer groups
    • Support produce aggregation and marketing activities of the project
    • Work with Project Officer, local stakeholders and leaders to identify community champions/resource persons for LVCD, Empowered World View and Digitization of farmer records
    • In consultation with other staff develop capacity assessment tools for producer groups and develop a capacity development plan
    • Facilitate the capacity building of the partners and farmer groups on LVCD activities (Climate Smart Agriculture, Entrepreneurship, post-harvest management and value addition, transformational leadership)
    • Facilitate linkages of the savings groups to FAST product to enhance their performance
    • Ensure cross cutting themes are integrated into LVCD interventions
    • Provide technical support and timely feedback to the Project Manager on the LVCD interventions outlined in the THRIVE project.
    • Organize meetings with key local value chain actors and farmers to forge effective support of the LVCD interventions
    • Ensure adult and child safeguarding during the implementation of the planned interventions

    Quality assurance -Monitoring, Reporting, evaluation and Documentation

    • Ensure the community champions (LVCD, EWV and S4T) have necessary monitoring tools and are trained on the same
    • Develop project monitoring and reporting schedules in collaboration with the various stakeholders
    • Work with the community champions/facilitators to continuously train, monitor and mentor the performance of producer groups along identified value chains
    • Clean and Collate project performance data and ensure it is keyed into the relevant Monitoring Information System (MIS) on a monthly basis
    • Prepare weekly updates, monthly, quarterly, bi-annual and annual progress reports
    • Documentation of key lessons learnt and successes stories from the target farmers
    • Continuously track progress of planned activities and outputs in the detailed implementation plan to ensure timely and quality implementation of plans
    • Support Monitoring and evaluation of THRIVE activities in coordination with M&E and relevant stakeholders.
    • Support farmer records digitization process and performance tracking in collaboration with community resource persons and relevant private actors
    • Together with farmers, partners, conduct regular reflection and learning events
    • Support the project data collection during baseline, end line, market assessments and post distribution assessments

    Strategic Engagement, Partnership and Networking

    • Represent World Vision in key L&R stakeholder forum/meetings and relevant networl‹s at the Ward, Sub-County and County levels.
    •  Facilitates linkages of the farmers groups to micro-finance institutions and skills development institutions
    • Strengthen partnerships with the county government and other partners for effective support and capacity development of the farmers for sustainability

    Programme Monitoring, Evaluation and Learning Officer

    Job Description:

    The purpose of this position is to provide leadership in coordination of MEL activities and processes including bi-regional (and inter-country) level coordination of impact data collection and processing, project reporting, feasibility studies, baseline and end-line surveys and documentation of results.

    The project is expected to strengthen community capacity to mitigate impact of recurrent disasters in East Africa and the Middle East through anticipatory action and hence the Programme MEL Officer has overall responsibility for providing coordination and leadership for monitoring, evaluation and learning, including formative (pre-intervention), implementation (during the intervention) and summative research (post-intervention) of the bi-regional Anticipatory Action project to be implemented in six countries across the East Africa region and the Middle East. The Programme MEL Officer would also provide technical guidance during project assessments or evaluations including engagement with consultants.

    The role will coordinate engagements with partners and countries to draw learnings across different implementation entities, building on innovation, learning and knowledge sharing enhancing impact and quality of programming. More so, s/he will provide technical guidance ensuring the project is implemented within industry and internal standards, enabling structured contribution to the SDG and WVI global objectives, and in line to donor frameworks.

    Technical Support in Project Design, Monitoring & Evaluation

    • Coordinate the development and/or review of quality project logframe ensuring clear contribution to the project objectives
    • Facilitate MEAL trainings to the NOs teams
    • Coordinate project surveys across 6 national offices in East Africa and Middle East and Eastern Europe regions including assessments, baselines and evaluations
    • Facilitate project continuous monitoring and annual outcome monitoring
    • Coordinate reporting process at the national offices and consolidation of the project reports, in line with donor requirements
    • Socialize and track implementation of the approved Annual MEAL Plan in accordance with donor requirements and overall MEL priorities. Prioritize and lead the Field Office MEAL teams with overall responsibility for all MEAL activities

    KNOWLEDGE/QUALIFICATIONS FOR THE ROLE

    Required Professional Experience

    • A minimum of 4 years multi-sectoral MEAL experience, M&E system coordination/ implementation in a large international non-governmental organization or other international relief/development body
    • Ability to express ideas clearly and effectively, both in spoken and written English and previous experience in reporting for key donors.
    • Experience with diverse M&E systems designs, consolidation of different back-end data points and major donors integrating physical and remote community engagement approaches
    • Exceptional understanding of business office software and applications- MS Office, Outlook, Skype, TEAMS, Zoom
    • Data analytics using packages such as Microsoft Power BI, Tableau, SPSS, Excel, GIS etc.
    • Demonstrated experience in developing assessment tools (e.g., questionnaires, focus group discussions), data collection methods and analysis.
    • Hands-on experience using mobile data collection platforms- from questionnaire design and coding, field-level testing, data collection, upload and analysis using KOBO collect, ODK, SMAP, ONA etc.
    • Cross-cultural sensitivity, gender and social inclusion, flexible world view, emotional maturity, and resilience.
    • A self-starter who can work independently under pressure and manage work tasks without direct supervision.

    Required Education, training, license, registration and certification

    • Must have a minimum of a Bachelor’s degree in social sciences, Monitoring and Evaluation or Project management, Statistics or related discipline from a recognized University.
    • Post graduate certifications/ qualifications in M&E are an added advantage.

    People & Culture /HR Officer - Generalist

    Key Responsibilities:

    People & Culture/ HR Administration

    Recruitment:

    • Work closely with the P&C Officer; talent and acquisition and the P&C business partners to represent the P&C department in interview panels both at the national office and in the field offices as may be required.
    • Be available to support the P&C officer; talent and acquisition with candidate background checks and interview invitations when necessary.
    • Support the P&C business partners in the completion of necessary Payroll Action Forms to reflect staff changes that have a payroll implication for all new staff

    Timekeeping & Absence Management:

    • In collaboration with the P&C Coordinator for Total Rewards, prepare relevant monthly absence reports and inform managers on the various departmental leave trends.

    Employee changes and transactions:

    • Create and store contract amendment letters, under the supervision/in consultation with the Snr P&C Manager
    • First point of contact for questions about staff letters and documentation.

    • Actively participate in following up on implementation on employee engagement survey findings and providing the necessary updates/reports
    • Work closely with the P&C business partner responsible for employee relations to ensure that staff meetings / town hall meetings are well coordinated both in the national office and at the field locations
    • Support field teams through regular visits and report on any key staff challenges needing the P&C department support
    • Represent P&C in disciplinary hearings and ensure appropriate note-taking is done.

    First point of contact for all of employees:

    • Act as a P&C helpdesk, responding promptly to P&C queries from staff and referring staff to P&C team members for support.
    • Equip employees to use basic tools, such as the appropriate policy database, to answer their own queries, self-service sections in the HRIS and payroll systems (workday, popay and the internal applications)

    Responsible for New Staff Orientation & Exit:

    • Manage new starter Orientation process including making improvements to the Orientation Checklist, training managers in what they should do for orientation of new staff, checking there is a performance agreement on file/in the HRIS system within first 2 months of employment, and scheduling a P&C meeting for the new staff member.
    • Send out exit survey, ensure exit interviews take place (with either the P&C Officer or BP) and provide the relevant clearance form/process to the exiting staff.
    • Is responsible for the separation of the staff member in the HRIS/Workday system in collaboration with the relevant P&C business partner(s)
    • Ensure that the separation Payroll action is provided in a timely manner to the P&C Coordinator responsible for payroll and processing of final dues.
    • Prepare the list of joiners and leavers on a monthly /bi-weekly basis and submission to the Snr P&C Manager for announcement

    Integrated Talent Management administrative support:

    Performance Management:  Support the Snr P&C manager to ensure that

    • Planned dates for annual performance management cycle is communicated to managers and staff in a timely manner
    • Relevant forms and guidance for performance management is provided to both staff and managers
    • All staff are trained on the online performance management process on the HRIS (Workday system)
    • Relevant follow up is made in relation to the performance review process to ensure timely completion.
    • Support in the reporting process of end of year performance ratings

    Individual Development Plans

    • Follow up with staff to ensure 100% compliance with performance goals in the HRIS system.
    • Ensure that probation assessments are done for staff in line with the P&C policy guidelines.
    • Escalating to the Snr P&C manager any issues emerging from the performance goal setting and other processes.

    KNOWLEDGE, SKILLS & QUALIFICATIONS

    • Experience in a large organization 400+ employees (NGO setting is preferred)
    • At least five years’ experience working as a HR officer in various HR functional areas
    • Excellent interpersonal and relational skills
    • Excellent communication and negotiation skills
    • Strong training and facilitation skills
    • Ability to support and coordinate diverse projects without losing focus
    • Ability to meet reporting and project deadlines
    • Team player and a good collaborator across departments and stakeholders
    • The job holder must be thorough, professional and detail-oriented

    Senior Manager, Programs

    Key Responsibilities:

    Strategic Leadership and management

    • Responsible for the overall planning, implementation and management of the projects (donor funded and Non-sponsorship (PNS)) project as well as the achievement of the goals and objectives in a timely and cost-effective manner.
    • Ensure strong communication and coordinating with technical leads and other support functions for effective delivery
    • Champion implementation and set high quality performance targets ensuring adherence to technical standards, WV regulations, best practices and donor guidelines.
    • Design strategies, partnerships and interventions to guarantee the project is gender, disability and social inclusion (GEDSI) sensitive
    • Ensure WVK is accountable to beneficiaries, donors, government and other stakeholders.
    • Primary point of contact and collaboration for the g implementation team.
    • Direct and oversee projects and PNS implementation; ensuring contribution to WVK strategy and donor commitments /promises through proper capacity building, proper staffing and quality assurance.

    Donor Relations

    • Represent the projects and PNS to respective donor meetings related to implementation.
    • Ensure effective liaison with local government officials, local communities, donor representatives and other stakeholders as appropriate
    • Constantly look for more effective and efficient implementation and opportunities to increase impact.
    • Ensure timely communication with donors to ensure effective projects support

    Resource mobilization and Engagement

    • Coordinate current donor engagement to attract repeat and extended funding
    • Ensure effective implementation products including documentations, success stories to position for additional resources
    • Liaise with resource acquisition team to contribute to potential growth areas for projectss and PNSs

    Monitoring, Reporting, Documentation & Knowledge Management

    • Lead an effective monitoring and reporting system for the projects and PNS
    • Establish and maintain effective project reporting, evaluation, and communication systems including schedules
    • Coordinate timely, accurate and quality reports submission that meet donor requirements
    • Document and disseminate project best practices, lessons learnt and success stories
    • Establish a strong knowledge management function for the projects and PNS
    • Coordinate regular data audits and quality assurance to enhance accountability and implementation fidelity

    Budget Management

    • Manage projects and PNS budgets within approved spending levels and ensure accurate and timely financial reports to donors and World Vision.
    • Ensure projects and PNS expenses are reasonable, allocated as per assigned budget, prudent and spent in accordance with donor rules and regulations to ensure low risk audits
    • Ensure effective budget monitoring across projects for delivery on time and on budget

    Risk and compliance

    • Ensure risk management across the projects including risk assessments and process improvement plans
    • Coordinate audit response and management plans for projects and PNS
    • Ensure due diligence processes as per WV and donor requirements
    • Ensure all compliance expectations across the projects and PNS are delivered
    • Any other duties as assigned by supervisor or designee from time to time

    KNOWLEDGE/QUALIFICATIONS FOR THE ROLE

    • Master’s degree in social sciences, management, business administration, or a related field
    • 7 years of experience in a senior role leading a complex technical service delivery program of similar scope and dollar value.
    • 5 years of demonstrated experience in partnership building, especially with government representatives, donors, the private sector, and local community organizations.
    • Proven ability to manage diverse teams across different sectors
    • Familiarity with multiple donor regulations including UN, foundations, Bilateral governments among others.
    • Demonstrated accomplishment in working with professionals, ministries and with donor colleagues in country
    • Past experience of working in multiple grant supported projects and knowledge of financial rules and regulations at a senior level.
    • Experience in developing program work-plans, budgets, managing implementation, staff and short-term technical assistance.
    • Excellent performance track record
    • Demonstrated ability to deliver results and meet all donor deliverables.
    • Excellent Oral and written communication skills,
    • Excellent Relational skills
    • Keen understanding of the unique political dynamics of the country and ability to work carefully and collaboratively to support the various political entities in Kenya
