As the primary person responsible for office environment management, the IFM Manager creates a comfortable, efficient, and considerate office environment for employees by providing professional and efficient IFM operational services. At the same time, the IFM Manager ensures the continuity and compliance of office operations.
Job Responsibilities
Operations Management: Based on the rules and standards of the organization, develop localized business strategies and operational plans, lead the supplier team to carry out daily operations according to the plan, identify areas for improvement through routine inspections and customer communication, formulate improvement plans, and supervise the implementation to ensure closure.
Supplier Performance Management: Supervise supplier contract performance in accordance with the contract, and guide suppliers to fully utilize their expertise and maintain high-quality service performance through performance evaluation and incentive or penalty mechanisms; coordinate and resolve disputes or contract changes that arise during the contract performance process.
Customer Relationship Management: Establish effective customer communication channels, actively listen to customer feedback, and respond quickly to customer needs, using customer satisfaction as a means to continuously improve IFM operational services.
Risk and Emergency Management: Urge the supplier team to identify and manage risks, and supervise and track the closed-loop management of risks; develop necessary emergency plans based on the characteristics of the site; in the event of an emergency, implement emergency response measures according to the emergency plan, and ensure internal communication and reporting of the emergency to guarantee a quick and orderly response when an emergency occurs.
Demand and Acceptance Management: Accept and approve service requests and service plans related to IFM operations in accordance with the requirements of the authorization management regulations, and be responsible for the authenticity and reasonableness of the requests and the feasibility of the plans; be responsible for accepting the services and items provided by suppliers according to the acceptance management regulations, and be responsible for the compliance of service quality or the quantity and quality of items.
Budget Management: Based on the pain points identified in operations management and customer needs, develop business implementation plans, prepare annual budgets, and achieve budget targets through routine supervision and execution.
External Relationship Management: Be responsible for establishing and maintaining external relationships with landlords, municipal water supply, power supply, fire protection, emergency power generation, medical emergency services, etc.
Be responsible for other IFM-related tasks, such as internal control, compliance, and EHS management.
