    Transport & Logistics Manager

    Job Summary

    The position holder reports directly to the General Manager and responsible for generating business leads and accounts creation by actualizing business proposals, asset utilization & optimization to include daily cost effective planning of loading and managing back haul for efficiency, while monitoring truck turnaround, documentation flow, timely invoicing for effectiveness and revenue generation in line with the business objectives. 

    Job Responsibilities

    • Enhance the reputation and relationship of the company with key customers and accounts in order to further the business interests, while managing daily operations and personnel in order to synergize efforts to the achievement of company revenue targets & objectives.
    • Oversee the daily achievement of turnaround per truck by ensuring to supervise the activities of logistics desk from ATL generation, Journey plan issuance, trip management & documentation in liaison with fleet tracking office. This will require daily analysis of delay reports for visibility.
    • Oversee identification and full utilization of idle assets to include manpower (drivers) with mechanisms to review for effectiveness and value addition, including addressing directly with clients loading and offloading delays for quick resolutions.
    • Oversee the timely release of trucks from workshop for loading in liaison with the maintenance team, including meeting the workshop manager to review and deliberate on emerging downtime challenges. Daily loading targets Must be met
    • Oversee the achievement of daily turnaround per truck by ensuring to supervise the function of journey plan audit. This you will be required to meet poor performing drivers who do not adhere to the set trip turnaround indicated by the delay reports sent from fleet officers for accountability.
    • Oversee the full utilization of existing fleet in terms of cargo allocation including planning for back haul of return cargo as may be.
    • Overseeing effective documentation flow with measures in place to ensure all documents required for invoicing are in place before authorizing next loading.
    • Ensure smooth communication and corporation with other departmental heads while advocating for good relationship amongst logistics team for cohesion
    • Send daily updates and weekly / monthly reports on overall transport & Logistics operations

    Qualifications

    • Holder of Bachelors’ Degree in Business, Logistics, Engineering or other related field
    • 7 years and above working experience in Supply Chain Management, Transportation & Logistics exposure to a large fleet preferred
    • Strong analytical skills with capabilities in good communication, negotiation, problem solving & decision making
    • Knowledgeable in modes of Transportation with a solid understanding and use of computers & ERP Systems
    • Capable of maintaining positive internal/external relationships including working cross functionally with other areas of the business and providing on/off-site support as needed

    Road Safety Manager

    The position holder reports directly to the General Manager and responsible for planning, coordinating & reviewing Road Safety objectives to achieve a sustainable safety culture and performance, with effective implementation and delivery of road safety policies & procedures and the impact towards exceeding customer expectation on contractual requirements for sustained safety compliance.

    Job Responsibilities

    • Develop and oversee implementation of company Road Safety Policy and Plan to include work process safety in all workshops, loading and offloading sites in liaison with all stakeholders’ i.e employees, contractors, clients & visitors.
    • Conduct documented driver toolbox talks while overseeing implementation of annual DDT and refresher trainings, driver sanction and disciplinary, driver recognition and reward program including driver mentorship and coaching.
    • Conduct both internal and external Road Safety Patrols/ Audit, while following up on action plans to ensure closure within agreed timelines. Discuss key learnings points for future improvements and follow up on remedial actions with proper records.
    • Coordinate and conduct timely RCA and report with corrective action while advising RCA committee members on planned RCA as may be scheduled, including compiling a sustainable corrective action register.
    • Oversee truck maintenance work process safety in liaison with Workshop Manager, ensuring to have proactive systems in place for consistent application of preventive maintenance program through effective truck inspection to manage hazards, with records of breakdowns kept and RCA done for major breakdowns.
    • Conduct Route Hazard Mapping in liaison with Transport and Logistics Manager for new routes with details communicated to drivers before commencement of trip, while overseeing issuance, reviewing and closure of journey plans correctly filled and stamped by check point officers.
    • Report and investigate any emerging accidents or incidents relating to transport operations with proper emergency response plan to include towing and recovery and regular drills conducted in accordance to agreed safety policy and standards with a view of preventing future recurrence.
    • Carry out regular road patrols to ensure safe driving behavior by drivers in liaison with Fleet Manager, with violation records related to journey management, over speeding, night driving, free-wheeling, harsh braking etc. kept and reviewed for sanctioning, while championing road safety observation by drivers for corrective action.
    • Organize including attending all safety meetings, with records of discussions kept and actions arising followed up to drive Road Safety performance, while implementing the requirements of the 5 pillar audit as per client requirements.
    • Compile regular reports on Road Safety performance as per agreed Key Performance Indicators (KPIs) and follow up to analyse trends/ identify remedial action to improve performance.

    Qualifications

    • Holder of Bachelors’ Degree in Business Administration or related field with over 7 years on job experience in the same position.
    • Good communication, interpersonal relations, administrative and organizational skills with knowledge in computers & ability to drive long distance trucks (Articulated driving license)

    Fleet Tracking Manager

    Job Summary

    The position holder reports directly to the General Manager and responsible for effective fleet turnaround supervision & management by overseeing daily monitoring of truck movements through GPS system to include route Geo fencing, driver behavior i.e journey plan adherence & road safety compliance, daily truck performance in terms of kilometers covered and reporting.

    Job Responsibilities

    • Managing the daily functions of fleet tracking officers and technicians, with daily prescribed reports on driving time, truck speed, distance traveled, truck idle time, analyzed causes of accidents with reports on major possible causes of vehicle breakdown with preventive measures.
    • Identify and timely report to management all prescribed road safety violations by drivers on daily basis i.e over speeding, night driving, free-wheeling, harsh braking etc for further action by the relevant offices.
    • Oversee monitoring & generation of driving report in case of accidents within an occurrence of 30 min from start to finish of journey with analyzed summary for use during RCA.
    • Oversee synchronization of fleet monitoring section as a joint effort between safety & logistics for smooth operations and achievement of business objective.
    • Give an analysis based on GPS route maps of new delivery routes/flows, i.e topography and possible route hazards.
    • Create route based clusters for all fleet tracking officers with a sustainable minimum number of trucks with clustered register for every fleet officer.

    Chief Operations Officer

    Job Summary

    The position holder reports directly to the General Manager and responsible for overseeing coordination in implementation of transport activities, information and documentation flow, including addressing all emerging bottlenecks for timely resolutions and smooth operations.

    • Ensuring coordination, acquisition and renewal of truck documents including comesa, insurance, inspection, speed governor etc. in liaison with the administrative office and respective government offices.
    • Handling accident matters in liaison with safety office and appointed insurance agents i.e attending accident scenes making sure to capture relevant information for onward transmission to the Insurance with constant follow up.
    • Coordinating court cases in liaison with the Company Lawyer and the transport office to ensure company representation and driver availability with updated records.
    • Making follow-up on Insurance claims with appointed Insurance Companies and ensure all the claims are submitted in time with settlements done.
    • Overseeing proper filing of insurance and truck documentation while maintaining a log with constant update on ERP

    Qualifications

    • Holder of University degree in Business Management/ Finance or in any related field
    • Minimum 7 or more years of progressive management work experience in transport and logistics industry with proficiency in human resources management, financial management and supply chain management.

    Tyre Manager

    Job Summary

    The position holder reports directly to the General Manager and responsible for overseeing planning and coordination in terms of availability and utilization of tyres with proper inventory & records in liaison with procurement, stores and workshop for smooth operations.

    Job Responsibilities

    • Develop and ensure implementation of tyre policies and procedures in place i.e. Tyre management & replacement policy, Scrap tyre policy, PSI policy etc
    • Oversee the general management of tyres including routine achievement of daily truck CPK, idle tyres and rims while monitoring trends and analyzing for visibility and decision making.
    • Ensure to ascertain the condition of tyres in ALL vehicles including having in place documented tips on tyre life cycle optimization with full implementation i.e. wheel alignment, tyre rotation after every 15000 kilometers , daily pressure/PSI checks before & after trip, tyre replacement at 4mm, tyre mismatch per axle etc.
    • Conduct RCA and toolbox talk on all damaged tyres and ensure company policy regarding the same is fully upheld/implemented i.e. ‘’ALL carelessly damaged tyres are surcharged to responsible driver without compromise unless otherwise advised.
    • Supervise tyre activities & team for effectiveness and efficiency with limited downtime
    • Oversee proper arrangement of tyre warehouse/storage facility with all tyres and tools kept under lock and key/ recorded for accountability
    • Undertake routine coaching, mentoring of tyre staff while appraising job results for performance continuous assessments
    • Advise procurement by ascertain the best tyre brands and size for specific truck positions, while ensure zero tyre mismatch reported on any truck position.
    • Oversee daily inspection, including timely servicing of key tyre tools and machine i.e. mobile compressor, fixed compressor, impact wrench machine, tyre branding tools etc.
    • Put mechanism to ensure tools/machines are used and kept appropriately, advice management on the status and performance of the same, including pro-actively reporting worn out tools.

    Fuel Manager

    Job Summary

    The position holder reports directly to the General Manager and responsible for overseeing planning and coordination in terms of fuel & lubricants availability and consumption, including the overall management in terms of stocking, daily disbursement & reconciliation for accountability.

    Job Responsibilities

    • Oversee daily authorization & signing of fuel i.e system generated owners risk / MRS as the basic documents for releasing fuel.
    • Have in place a standardized chart for all fuel allocations per route i.e mandatory use of Fuel chart as a reference to confirm relevant quantity for each trip/route given the destination.
    • Have in place mechanisms to fully supervise fuel opening stock, dip stick readings, pump readings in all fuel dispensing stations on a daily basis with reports for accountability.
    • Ensure that all fuel MRS raised have been fully issued in the system with a daily closure report.
    • Ensure daily reconciliation of fuel consumed given the MRS issued, Dip stick readings, ERP approvals, pump meter reading and fuel log system done with variances fully accounted for.
    • Put mechanisms in receiving signed stock certificate from satellite stations showing daily fuel opening stock, pump meter readings and daily consumption with reconciliation on consumption and stocks for accuracy with no discrepancies.
    • Follow up for fuel top ups and timely closure on requests to reduce unnecessary delays with records for further analysis and approval by workshop.
    • Ensure bulk fuel is received, offloaded and secured well within the necessary safety procedures with all prerequisite quality checks in place i.e density/ water.
    • Ensue underground fuel tanks & pumps are calibrated, while undertaking periodical checks to secure under lock and key when not in use to avoid contamination. Have in place a documented procedure for sustainability
    • Ensure full functionality of all fuel pumps/ tools at any given time with timely repairs on breakages.
