Overall purpose of the job
The incumbent will assist in the implementation of policies, procedures and processes in the deployed department.
Job specifications (duties)
The specific duties and responsibilities of the officer will entail: -
- Analyze student application forms, job application forms, tender documents, ISO documents, training evaluation forms to ensure accuracy of data;
- Manage office protocol and etiquette by attending to visitors/clients, handling customer enquiries, complaints and telephone calls while maintaining confidentiality;
- Information management by receiving, collecting and processing information from internal and external sources to ensure informed decision making and proper policy implementation;
- Retention of records by ensuring security of office records, equipment and documents including classified materials;
- Coordinate schedules of meetings and appointments; communicate to all concerned parties within timelines to avoid conflict of activities;
- Prepare responses to routine correspondences for information and action
- Maintain an up-to date filing system by establishing and monitoring procedures for record keeping and easy retrieval;
- Manage the office by ensuring proper layout, cleanliness, tidiness and safe custody of office equipment and furniture;
- Coordinate travel arrangements to avoid last minute rush and inconveniences;
- Provide secretarial services by attending meetings and taking minutes for future reference and circulating as required by ISO 9001; and
- Manage office petty cash to ensure smooth running of office activities.
Persons’ specifications
For appointment to the grade, one must have:
- At least four (4) years relevant experience;
- Bachelors degree in office management or business management or other relevant and equivalent from a recognized institution;
- Meet requirements of Chapter 6 of the Constitution; and
- Proficiency in Computer Applications.

Job specifications (duties)
The specific duties and responsibilities of the officer will entail assisting in: -
- Preparing housekeeping unit reports which reflect financial implications, complaints and compliments on monthly and quarterly basis to ensure that all revenue generated are captured and complaints are acted upon;
- Allocating duties to staff for smooth running of the housekeeping unit;
- Evaluating performance targets to supervised staff to ensure that continuous improved performance standards and goals are achieved;
- Planning and coordinate reservations and bookings of guests using the institution’s conferencing facilities to ensure that the guests are comfortable;
- Inspecting hostel, public areas, grounds and conference rooms to determine need for repair or replacement of furniture or equipment and make recommendations to the senior hospitality officer to prolong the life span;
- Providing content for marketing content school services such as conference facilities, hire grounds for wedding through brochures, journals, and magazines to ensure maximum bookings throughout the year;
- Coordinating and issuing of cleaning supplies and equipment to support staff to facilitate their daily operations;
- Ensuring invoicing and billing of guests and students for settlement of bills to avoid loss of revenue to the institution;
- Investigating complaints regarding housekeeping services and equipment and take corrective action to maintain high professional standards of the section; and
- Nurturing good relationship with the key clients for financial sustainability and as marketing tool for the school.

Overall purpose of the job
Reporting to the Principal Librarian, the incumbent will assist in the implementation of Library and Information Services policies, procedures and processes.
Job specifications (duties)
The specific duties and responsibilities of the officer will entail assisting in: -
- Undertaking Library and information services assignments in line with the approved Library strategies, policies and procedures to confirm the adequacy and effectiveness of services offered;
- Providing input in preparation of monthly Library reports;
- Providing inputs for the update of Library and Information strategies, policies and procedures;
- Ensuring availability of adequate and authentic Library and research information resources to meet the needs of the School programs;
- Providing input in developing, implementing and regularly reviewing Information Literacy and Competency Training curriculum for ATP&PTP students to ensure their ease of access and utilization of e-resources in the library;
- Safeguarding the Library assets by establishing appropriate means of verifying their existence, ownership and valuation;
- Organizing and managing periodicals/reference/reprographic services/archives/special collection/rare books section;
- Research Support services;
- Cataloguing, classifying and barcoding of Library materials using a standard classification scheme and Anglo American Cataloguing Rules to maintain standardization of records;
- Online accessioning of print Library material;
- Offering circulation services to Library users;
- Stock taking exercise; and
- Organization/shelving of information resources to ensure easy retrieval.
