    Terms of Reference for The Recruitment of a Knowledge Management Consultant

    THE KNOWLEDGE MANAGEMENT INTAKES

    CRAWN Trust/NWSC is seeking the services of a knowledge management expert in training it’s staff. Successful candidates will play a key role in developing and supporting management processes, lessons learned, and best practices in areas such as:

    • Knowledge management and data visualization
    • Monitoring of effective knowledge management processes and systems
    • Branding of the organization
    • Development of an organizational style
    • Documentation of the organization’s work such as publications, best Practices and dissemination of project work.
    • Innovation and data management
    • Lead sharing, reflection and learning
    • Applying networked knowledge (connecting and collecting knowledge) creation concept to knowledge management with the focus on connecting people, sharing capabilities and creating new knowledge.
    • Focusing more attention on quality assurance, strengthening linkages to CRAWN Trust’s strategic advocacy goals, more effective dissemination, and impact monitoring

    TERMS OF REFERENCE (TORs)

    The Consultant will be expected to undertake the following:

    1. Conduct a knowledge management training for CRAWN Trust staff through the application of reflective and practical adult learning methodologies.
    2. To develop an inception report that shall assess CRAWN Trust knowledge management systems with an aim for the training to be informed by the knowledge management gaps.
    3. The assessment and training should seek to define the following;
    • Knowledge Management (KM) at an organizational level and identifying the core components of a robust KM system, including knowledge sharing.
    • Conducting an in-depth assessment of knowledge management needs, audiences, and existing platforms, including identification of critical gaps.
    1. Establishing product/system specifications to inform system and tool selection.

    Recommendations and an action plan for the strategies, systems, policies and tools that are needed to address current gaps and fully develop KM.

    1. Strategies for rolling out of Knowledge Management initiatives to third parties (e.g. networks/ groups) through demonstrations, presentations, training documentation, and training workshops.
    2. Develop a training materials/manual under the previous listed thematic areas such as information management system and software use.

    Key Deliverables

    1. Deliver a Knowledge and data visualization handbook for use by staff.
    2. Deliver a timeline and schedule of tasks to be agreed upon, including a plan that describes the approaches and methodology to be used while conducting the KM
    3. A final report of the KM training.

    Qualifications requirements / Desired Expertise

     The applicant should possess the following desired knowledge and expertise:

    • Similar experience in carrying out knowledge management exercises including the development of effective data tools.
    • Good experience in knowledge management on evaluating work involving governance topics such as the 2010 constitution/ gender development work/ advocacy work with civil society organizations is desirable.

    The consultant/ firm should submit an Expression of Interest, which should include the following:

    Expression of interest (5 pages maximum)

    • A capability statement, including commitment for availability for the entire assignment.
    • A detailed financial proposal, including the consultant’s fees and relevant taxes with consideration
    • Updated curriculum vitae of the consultant who will undertake the work.
    • Contact information of 2 organizations that have recently and preferably in the last 3 years contracted the consultant to carry out a similar assignment.

    Consultancy on Event Coordination and Management – WVL Annual Women Rights Organisations Convention

    Background and purpose of the consultancy

    CRAWN TRUST intends to carry out a virtual Annual Women Rights Organisations Convention Forum bringing together women champions, women leaders and relevant stakeholders from across the country. The Annual Women Rights Organisation convention forum conducted under the Women’s voices and Leadership project aims to promote and defend women and girls’ social, economic and political rights of women while enabling visibility and amplification of women’s voices in a national platform while advocating for their rights for the enjoyment of their human rights and gender equality.

    CRAWN Trust has been on the forefront in championing the rights of women and girls in Kenya calling the beneficiaries to action by advocating for their guaranteed rights in the Constitution of Kenya 2010.  We are therefore seeking a talented, motivated Events Coordinator with outstanding technical skills/ experience for the organizing of an exciting memorable and impactful one day event.

    Objective /Duties and Responsibilities

    The event coordinator will be expected to:

    1. Develop the virtual experience concept including the program design of the forum.
    2. Co- coordination on the sourcing and management of the event’s speakers/ moderators during the event’s preparation and D- day.
    3. Develop the offline and online communications for marketing the event and stakeholders.
    4. Sourcing of media and social media communication channels for marketing the event.
    5. Coordinating the syncing of the on the ground panel discussions and the online forum activities.
    6. Coordinate the entertainment during the forum.
    1. Consultancy activity schedule / Timeline

    The duration of the Assignment will be for a period of two months in April to May 2021

    1. Qualifications requirements / Desired Expertise

    The applicant should possess the following desired knowledge and expertise.

    1. A minimum of a post graduate qualification in business management, hospitality management, public relations, communications development or a relevant field.
    2. A proven track record in organizing successful events; has a working knowledge and experience  of the complex needs of a wide variety of events.
    3. Experience in organizing technical online forums/ virtual experiences is strongly desired.
    4. Critical thinker, dependable, excellent logistic skills, team player with problem-solving skills
    5. Good time-management and organizational skills
    6. Must be well-organized and competent in vendor management especially marketing, social media communication, media engagements, entertainment field.

    • A clear methodology of handling at least 1000 participant -capacity event
    • A detailed financial proposal indicating the consultant’s fees in consideration of a modest budget available

    Terms of References for The Provision of An Onsite (Physical) And Offsite (Cloud) Back-Up System

    CRAWN Trust is seeking the support of a Consultant/Consultancy firm, to install an offsite (cloud) back up system.  This consultancy is being conducted under the Women’s Voice and Leadership (WVL project); that is funded by the people of Canada through the Canadian government, Global Affairs Canada and coordinated in Kenya by CARE-Kenya.

    The consultant/Consultancy Firm will be expected to:

    1. Provide a scope of the offsite/onsite back-up system
    • Identify metrics and data organisation
    • Provide a data back-up strategy
    1. Perform a full organisation’s data back-up
    2. Build a data recovery plan
    3. The data back-up/recovery system should have an offline mode
    4. The system should be customizable and possibly integrated with an app/software
    5. Easily configurable in operation
    6. Ensure weekly data protection and back-up

    Deliverables

    1. A user-friendly manual that highlights process unto which data back-up and recovery is done.
    2. Ensure the back-up/recovery system is secure and tamper proof
    3. Train staff on the use of the system
    4. Monitor the system to avoid data decay
    5. Perform scheduled updates/maintenances

    Approach

    The Consultant/consultancy firm is expected to work directly with CRAWN Trust and liaise with any other partners and participants as may be determined by CRAWN Trust for any technical support that may be required.

    Consultant/consultancy firm profile

    The consultant/consultancy firm should possess the following:

    • Proven expertise in the field of data and management, Cloud system, and computer networking.
    • Have at least 2-year experience in organizational data mobility
    • Proficiency with database language
    • Excellent communication skills
    • Highly motivated and committed to professionalism and accountability

    Selection

    The consultant/consultancy firm will submit an Expression of Interest (EOI) to CRAWN Trust; including the following:

    • A suitability and capability statement; including commitment to their availability for this assignment.
    • Current curriculum vitae that clearly spells out qualifications and experience in relation to this assignment.
    • Contacts of at least 2 organizations that have contracted the consultant to carry out a similar assignment for reference.

    Confidentiality of information

    All documents and data collected in the process of the consultancy will be treated as confidential and used solely to facilitate the consultancy assignment. All information to which the consultant shall receive access to shall at all times be treated as the property of CRAWN Trust and shall not be disclosed except for where express permission has been granted.

    Terms of Reference for The Women Voices and Leadership Consultancy for Gender Analysis

    Introduction, background and Women’s Voice and Leadership Project Profile

    The Women’s Voice and Leadership (WVL) Kenya Program is a project funded by Global Affairs Canada (GAC) is being delivered by CARE Canada, CARE Kenya, CRAWN Trust, Uraia Trust, The Centre for Rights Education (CREAW) and the Urgent Action Fund (UAF- Africa).

    The goal of the program is to support the capacity and activities of local and national women’s organizations and movements seeking to empower women and girls, advance the protection of women’s and girls’ rights, and achieve gender equality with the ultimate outcome being the “increased enjoyment of human rights by women and girls and the enjoyment of gender equality in Kenya”.

    WVL project Objectives

    Outcomes include:

    • Improved management and sustainability of local women’s rights organizations (WRO’s).
    • Enhanced performance of WRO’s programming and advocacy to advance gender equality and empower women and girls.
    • Increased effectiveness of national and sub-national women’s rights platforms, networks and alliances to affect policy, legal and social change.

    The Purpose of the Gender Analysis Consultancy

    Gender inequality remains a serious issue in Kenya that continues to hold back women, girls and their communities. Barriers such as lack of access to opportunities, exclusion, lack of meaningful participation, retrogressive culture, a non- enabling environment among other issues all manifest themselves in the social, economic and political contexts in our communities.

    The purpose of the gender analysis is to provide an understanding of the current interactions and implications between gender and the social, economic and political realities in the country and providing disaggregated statistics and findings. The gender analysis is also expected to consolidate some of the issues raised by Women Rights Organisations (WROs) and networks under the Women Voices and Leadership project. The undertaking of this gender analysis shall lead to the development of gender briefs that shall be disseminated to be used by WRO’s and other networks to support in their programming and implementation of their work around policy and advocacy work; and in mainstreaming the voices of women for the enjoyment of their human rights and gender equality.

     

    1. Objectives:

    The gender analysis seeks to achieve the following objectives:

    1. Understanding the gendered interactions within the current social, economic and political context at hand leading to disaggregated findings.
    2. Consolidation of women’s voices as raised by WROs and networks under the Women’s Voice and Leadership project.
    3. Development of gender briefs.

    5.Expected Outputs and Deliverables

    All deliverables must be completed within ten (10) days

    • An inception report clearly detailing the parameters considered and the methodology of addressing them and a work plan detailing time frame for various activities.
    • A draft gender analysis report of the preliminary findings for discussion.Final reports with client input.
    • Develop a gender brief
    1. Consultancy Timeline

     The consultancy will cover a maximum period of ten days inclusive of deliverables and closing out of the consultancy.

     

    Qualifications requirements / Desired Expertise

    The consultant/consultancy firm should possess the following desired knowledge and expertise:

    • Vast knowledge in undertaking research, baselines, gender analysis, policy advocacy practice.
    • A minimum of 5 years’ experiences in policy analysis/ gender analysis, research development or any other experience related to the assignment.
    • Experience in gender development and statistical packages desired.
    • Aptitude to handle competing priorities with multiple audiences desired.
    1. Expression of Interest

    Firms, teams, or Consultant(s) meeting the requirements should submit an Expression of Interest (5 pages maximum excluding annexures), which should include the following:

    A capability statement, including commitment for availability for the entire assignment.

    • A clear methodology including, a timeline and a work plan/Gantt chart.
    • An explanation of roles of the different consultants (if relevant).
    • A detailed financial proposal, including the consultant(s)’ fees and relevant taxes.

    Annexes should include:

    • Updated curriculum vitae of the consultant(s) who will undertake the work. Where more than one consultant will be involved, clearly indicate the roles of each consultant.
    • Contact information of 2 organizations that have recently and preferably in the last 3 years contracted the firm/consultant(s) to carry out a similar assignment.
    • At least one sample of previous works.
