    Senior Assistant Research and Knowledge Management Officer

    Job Purpose

    Reporting to the Manager, Research and Knowledge Management, the job holder is responsible for assisting the Department in specific activities.

    Job Responsibilities

    Duties and responsibilities at this level will entail: - 

    • Assisting in the collection of data, data entry, data analysis, interpretation and reporting processes for ongoing research
    • Assist with project reports and preparation of proposals and grants/budgets
    • Assist in innovating idea hypothesis testing, scoping, evaluation and concept experimentation
    • Assist in screening and sequencing of innovative ideas with overall strategic direction
    • Playing a role in the identification of new services/processes/businesses/products and support in their rollout
    • Assist in storage of information on courses and programmes offered by the Universities and Colleges
    • Assist in receiving, collating and retaining information on courses and programmes offered by Universities and Colleges
    • Ensure guidelines and procedures for management of resource Centre are adhered to
    • Assist in maintaining an effective resource centre
    • Responding to request for information
    • Assisting in sourcing, compiling, keeping and maintenance of resource materials on placement

    She/he shall also perform specific and Knowledge Management duties under supervision.

    Minimum Job Qualification

    For appointment to this position, a candidate must:

    • Have a minimum of three (3) years relevant work experience in the Public or Private sector
    • Have Diploma in any of the following fields:- Research Methodology, Statistics, Records Management, Library and Information Systems or other relevant and equivalent qualifications from a recognized institution
    • Be proficient in Computer applications
    • Fulfil the requirements of Chapter Six of the Constitution

    Senior Assistant Accountant

    Job Purpose

    This will be an entry and training grade for this cadre. An officer at this level will work under direct supervision of a senior officer.

    Job Responsibilities

    Duties and responsibilities at this level will entail:

    • Preparing and verifying vouchers in accordance with the laid down Financial procedures, policies and regulations
    • Capturing data and maintaining primary records such as cashbooks, ledgers, vote books and registers
    • Providing safe custody of accounting records and assets
    • Receipting of money due and payable to the Placement Service
    • Paying personal and merchant claims guided by cash balances in the cash books and treasury regulations
    • Preparing periodic financial accounts
    • Checking and processing contract payments and other disbursements
    • Preparing monthly bank reconciliations
    • Maintaining the general ledger
    • Remitting statutory deductions
    • Ensuring safe custody of payments and journal vouchers
    • Preparing regular financial reports;
    • Maintaining fixed asset register.

    Minimum Job Qualification

    For appointment to this position, a candidate must:

    • Have a minimum of three (3) years relevant work experience in the Public or Private sector
    • Have passed Part II of the Certified Public Accountants (CPA) Examination, Diploma from KNEC or its recognized equivalent qualifications from a recognized institution
    • Be proficient in Computer applications
    • Fulfil the requirements of Chapter Six of the Constitution
    • Demonstrate competence in work performance. Or (As a management trainee) 
    • Bachelor’s Degree in a Business related field
    • Proficiency in computer applications

    Senior Legal Assistant

    Job Purpose

    Reporting to the Senior Legal Officer, the job holder is responsible for assisting the Legal Department in specific activities.

    Job Responsibilities

    Duties and responsibilities at this level will entail:

    • Reviewing and retrieving files for relevant action
    • Opening legal files
    • Filing contracts and court documents
    • Responding to inquiries regarding specific cases
    • Serving legal documents to clients and other stakeholders
    • Maintaining and updating files systematically and accurately to ensure rapid access and retrieval
    • Monitoring progress of contract and court cases;
    • Maintaining and updating master diary for court cases.

    Minimum Job Qualification

    For appointment to this position, a candidate must:

    • Have a minimum period of three (3) years in relevant work experience in the Public or Private Sector
    • Have a Diploma in Legal Studies or Administration (with bias in legal matters) from a recognized institution
    • Be proficient in computer applicationsShow merit and ability as reflected in work performance and results.

    Assistant Office Administrator (Office of the Chief Executive Officer)

    Job Purpose

    Reporting to the Personal Assistant to the Chief Executive Officer, the job holder is responsible for supporting operations in the Office of the Chief Executive Officer in an effort to realization of the mandate of the Placement Service. Successful applicants will be hired on a two-year contract renewable on mutual agreement and subject to meeting set performance targets.

    Job Responsibilities

    • Provides secretarial, administrative and logistics support
    • File documents, develop and modify filing practices - this includes the usage of electronic in addition to proper records
    • Responsible for maintenance of departmental supplies and inventories
    • Responsible for office cleanliness and hygiene of the CEO’ office
    • To effectively support all administrative arrangements needed to facilitate efficient working of the Chief Executive’s Office by providing support as required to the CEO, Personal Assistant to the CEO and the wider KUCCPS team
    • To make travel and accommodation arrangements as required and support the coordination of external visits to the office from a range of organizations
    • To support the planning and organization of events, including arranging catering and any other administrative arrangements for meetings and events
    • To help with sorting and following up on correspondence to the Chief Executive’s Office, including delegation to other departments and monitoring of action as required
    • To set up internal and external meetings as required and ensure the smooth running of these by setting dates, confirming attendance, sending agendas and papers, booking rooms and refreshments, taking accurate minutes and coordinating any last minute changes to arrangements
    • To provide high level customer care in dealing with routine and non-routine inquiries from internal staff and the general public using judgement and tact to ensure these are handled appropriately; To undertake research and ad-hoc projects as needs arise or other duties that may from time to time be necessary, that are compatible with the nature and grade of this post
    • Perform any other duties assigned.

    Minimum Job Qualification

    • Have a Diploma in any of the following disciplines; Business Administration, Business Management, or other equivalent qualification from a recognized university
    • Have a certificate in the relevant computer applications from a recognised institution
    • Good planning and organizational ability
    • Good interpersonal and communication skills
    • Demonstrate high level of confidentiality;

    Assistant Office Administrator

    Job Purpose

    Reporting to the Director, the job holder is responsible for planning, coordinating, and managing activities for the Director in an effort to realization of the mandate of the Placement Service.     Job Responsibilities

    • Assisting in preparation of reports, briefs and other documents
    • Planning, managing and coordinating Directors calendar
    • Coordinating Directorate Meetings – taking minutes at the meetings, collating departmental reports and making follow-up on implementation of resolutions
    • Coordinating travel and logistics for the Director
    • Facilitation and confirmation of the appointments and meetings being attended
    • Responsible for physical assets assigned to the office of the Director;
    • Handling all the administrative duties of the office of the Director
    • Drafting of internal or external communication, for the Office of the Director
    • Arranging for meeting venues professionally and timely
    • Records Management and Information services.

    Minimum Job Qualification

    • Have a Diploma in any of the following disciplines; Business Administration, Business Management, or other equivalent qualification from a recognized university
    • Have a certificate in the relevant computer applications from a recognised institution
