    Programmes Intern

    Key Responsibilities

    • Assist the team in making requests through Tradogram and follow up with P&L for timely delivery.
    • Support in follow up with Field teams in ensuring the logistic support is offered including conference package, accommodations, Vehicle requests and non-payments of hotels/suppliers.
    • In liaison with the Programmes Assistant support in planning and arrangements in relation to daily team operations.
    • Review of programmes & MDT team, advances and surrenders using the new advance/surrender system and support in verifications of approved plans.
    • Sharing of programmes & MDT team movement plans and uploading the same on sharepoint
    • Working closely with the channel leads and Programmes Assistant in ensuring Timely and accurate team advances on Mpesa are processed in required timeline (Finance SOP): MDT, PSS, Outreach, RMCs, Nested Providers.
    • Collate all logistics claims, payments, field advance requests and surrenders on behalf of the programmes and MDT
    • Working closely with the channel leads to ensure form 3 s is shared for daily team performance tracking
    • In collaboration with the Programmes Assistant, support in communication with Team leads, Nested providers, PSS Supervisors on any development, Targets ,SOPs and taking minutes during monthly meetings
    • Attend monthly meetings when delegated, pillar 1 meetings, MDT meetings and quarterly MAT meetings, take minutes and track implementation of all action points
    • Any other duties assigned.
    • Degree in Business Administration or equivalent
    • Prior experience in Programs and administration support will be an added advantage

    Programmes Assistant

    Program/Project Responsibilities

    • Track project implementation plans for assigned projects or as delegated
    • Plan and coordinate monthly/quarterly internal project review meetings for sharing project’s performance and plans and to enhance indepartmental collaboration and sharing insights on performance
    • improvement.
    • Handle project correspondence including drafting the necessary communications for the department and maintaining a filing system of hard copies and soft copies [MSK Programmes on sharepoint]
    • Maintain the shared database with all grants/projects summary and calendar Updating the reporting template with all current and new timelines for donor reports across all the channels.
    • Take minutes in monthly project review meetings, MAT meetings and follow up on the implementation of set action points
    • Represent MSK in external meetings at county or national level when assigned.

    Support for New Business Development

    • Support concept note, proposal and budget preparation and revision in line with MSK/I guidelines and donor requirements.
    • Scout for grant opportunities by reviewing donor websites and keeping on top of opportunities for funding like announcements for RFPs, RFAs and other grant applications.
    • Support in literature review or gathering insights as requested during concept note/proposal development
    • Funding opportunities identified and concepts notes submitted.
    • High quality and well budgeted proposals submitted to donors

    Project coordination

    • Support in project implementation for assigned projects to ensure the project is delivered on schedule and budget and while escalating all issues for resolution to immediate supervisor.
    • Support in tracking project expenditure against the approved budget, support in BVAs analysing of transaction listings of all grants and ensure expenditures match the specific grants and budgets.
    • Reviewing timelines and deliverables on a monthly basis and ensure timely action/communication regarding risks and opportunities
    • Following up teams for reports completion and conducting quality reviews of the project/grant reports within the reporting timelines to ensure timely and high-quality reports are completed and shared for review.
    • Support the Communications & Advocacy manager in the documentation and analysis of evidence, lessons and insights such as project success stories and case studies for the assigned projects to enrich the reports and project implementation. This includes a repository for program related pictorials in consultation with the marketing team
    • Consolidate all the training reports from the relevant trainers and capture the action arrears for tracking and implementation on the action plan tracker that is relevant for trainings
    • Print certification for all participants and trainers for completed trainings and working closely with training lead in providing training logistical support in relation to workshops, trainings.
    • Working closely with the training lead, ensuring Training Inventory for all equipment is maintained including training models, and all consumables.
    • Ensure MDT Tracker and Planner activities after IQTA/EQTA have been uploaded and follow-up with channels leads on updating implementation status.
    • Work closely with the procurement and logistics team to plan workshops, events, and other program departmental activities.
    • Conduct joint field visits to ensure all projects are implemented according to the project’s quality management plan.
    • Supervise the Programmes Intern.
    • Any other duties and responsibilities assigned.

    Qualifications

    • Bachelor’s degree in social sciences, project management or business administration from a recognized institution

    Programmes Officer,Gender, Youth & Social Inclusion

    Key Responsibilities

    • Provide technical support, guidance, and oversight of gender, youth, and social inclusion activities to Marie
    • Stopes Kenya programs, in line with Marie Stopes quality principles and standards, donor guidelines, and industry best practices.
    • Provide support for youth, gender-responsive and socially inclusive service delivery, demand generation and community engagement.
    • Support the scale of gender and youth-friendly services at facility and community levels.
    • Support integration of GBV prevention and response services into health facilities and community-based programming
    • Implement gender and age-differentiated approaches to address social norms, GBV and contextual drivers, and capacity-building tools.
    • Support the development of program learning - identify opportunities for learning and success stories around gender, youth, and social inclusion.
    • Contribute to the monitoring and evaluation of integrated gender, youth, and social inclusion activities ensuring high quality and timeliness on deliverables against intended objectives and targets.
    • Oversee technical assistance and capacity-strengthening activities in gender, youth, and social inclusion for staff, partner organisations and Government to enhance quality and impact.
    • Ensure timely and appropriate financial expenditures in line with financial plans/program budgets and efficient use and stewardship of project and Organizational material sources.
    • Contribute to the preparation of annual project work-plan, budgets, performance reports, and quarterly reports.
    • Identify and support documentation of best practices, and use them to profile the impact of local level gender /social change approaches, and promote lesson sharing.
    • Represent the project to internal and external partners including the county government and other project partners and key stakeholders on relevant gender/ social change information and thematic committees / technical groups.
    • Other duties, as required.

    Qualifications

    • Must possess a university degree (BA, BSc) in a related, relevant field (e.g., gender studies, public health, international development, social sciences, anthropology, or a related field).
    • A minimum of three (3+) years of experience in gender and youth programming in the health sector, including integration of Gender into the consortium of SRH services from facilities into communities including a focus on youth and adolescents.
    • Experience in presenting findings, results, and lessons learned to a variety of audiences is desirable.
    • Experience integrating gender, age, and other significant socio-cultural and inclusion elements in the context of sexual reproductive health and rights.
    • Demonstrated experience leading data/information collection, analysis, and utilization/implementation for program adaptive management.
    • Demonstrated coordination, teamwork and planning skills with proven ability to function effectively programs/projects in both the public and NGO sectors.
    • Demonstrated in-depth understanding and application of technical principles and concepts in gender integration that ensure proper cross-sectoral/integrated approach.
    • Familiarity with principles and approaches in gender transformative approaches and understanding of programs addressing persistent acute malnutrition.
