    IT Officer

    Main tasks and responsibilities

    • Conduct network troubleshooting to segregate and identify general network problems and advice possible solutions.
    • Manage AVSI internet usage and advice better solution.
    • Maintenance and Support: - Preventive and corrective maintenance of AVSI computer hardware and network covering: Laptops, Desktops, Server, Printers, scanners, Network printers, Cable and wireless network infrastructure
    • Preventive and corrective maintenance of its software applications General driver application, General office applications, ERP (Navision): covering existing configurations and setup new configuration and setup is a separate project
    • Maintain all local software and hardware licensing to ensure conformance.
    • Support determination of local and customer needs for yearly budgeting process and request for proposal processes.
    • Support in workflow evaluation and improvement.
    • Maintain server, upgrade, secure, system backups and disaster recovery preparation.
    • Support implementation and planning of deletions, additions and major changes to support regional infrastructure and server
    • Recommend software and hardware solutions comprising of upgrades and new acquisitions.
    • Install software, maintain and introduce training as needed.
    • Maintain and secure passwords, file system security and data integrity for desktop environment.
    • Maintain and update documentation of procedures and configurations.
    • Support the entire purchase of inventory related to hardware, software, other IT supplies and general supplies.

    • Assist in vehicle fleet belonging to AVSI and its projects (follow the rules for the use of the vehicles, for the maintenance of the vehicles, management of fuel purchases, insurance etc.).
    • Assist in the ordinary and extraordinary maintenance of AVSI assets and the general office maintenance
    • Support the preparation of new projects budget with documented and updated information on goods and services availability and price lists.
    • Make sure that the adequate logistic support during meetings, seminars or other events is provided.
    • Responsible for the routine check-up of the vehicles, vehicle schedule, routine check-up to include but not limited to oil, brake function, water, lights & tire condition and the like
    • Protect customer data from outside infiltration through encryption, secure data storage and other necessary means
    • Assist with the installation of new hardware and software and help train employees on its use
    • Offer suggestions for possible upgrades and changes within the IT department
    • Any other duty assigned by the direct report

    Required skills and experiences

    • First degree in Information technology or Computer science from a recognized University
    • At least 5 years’ experience in IT filed.

    HR Officer

    Main tasks and responsibilities

    Assignments and tasks

    • In collaboration with Regional HRM and Country Representative:
    • One will responsible in preparation of contracts, letter of offer and related documentation for national staff.
    • Overall responsible for preparing monthly payments for each employee according to the local labor regulations.
    • Provide correct data for payment of healthcare insurance, NSSF, NHIF, NITA and PAYE for national staff under AVSI contract.
    • Overall responsible for registering annual leave, sick leave, compassionate leave, etc. in the personnel files.
    • Checking and monitoring attendance records
    • Responsible for monitoring and follow-up of Human Resource related issues in
    • AVSI Field Offices and keeping all the original personnel files both for employees in Nairobi and Field Offices.
    • Focal point for national staff matters in Kenya including monthly update of project allocations and responsible for the proper filing and follow-up of the staff time sheets and check them for conformity with instructions.
    • Follow up all the documents of AVSI expatriate staff (Leave, work permit, and registration of Medical Officers and taxation)
    • Focal point for legal labor issues related to AVSI employee.
    • Participate in staff recruitment process.
    • Identify and propose suitable and relevant short-term training courses for national staff.
    • Assist in the Performance Evaluation Appraisal and Report.
    • Participate in HR coordination meetings, weekly (every Monday) and once a month at a general level;

    • Collaborate in the proper functioning of the AVSI structure in the country or in the specific work area;

    Essential Requirements

    • A bachelors degree in Human resource management or Strategic planning. Computer literate with knowledge of Microsoft dynamics 365 will be an added advantage

    Social Worker

    Main tasks and responsibilities
    Duties and Responsibilities

    • Support the coordination, implementation, and monitoring of all assigned project activities as outlined in the organization Detailed Implementation Plan in line with organizations principles and standards, donor and GOK requirements, and good practices.
    • Monitor and report any challenges and/or gaps identified to inform adjustments to plans and implementation schedules.
    • Support the project volunteers in their efforts to reflect on project experiences.

    Driver

    Main tasks and responsibilities
    Drives AVSI motor vehicles to complete assigned duties.

    • Cleans and cares for official AVS vehicles.
    • Conducts regular checks of vehicles to ensure that they are mechanically sound and in good working order and reports any problems noted to the Admin Manager.
    • Provides safe transportation to and from field locations, meetings and other destinations for AVSI staff and visitors on official business.
    • Posts and collects mail, weighs, and affixes the correct number of stamps on letters and packages.
    • Adhere to road safety regulations and ensure the well-being of passengers.
    • Transports goods, equipment, and materials to working sites as needed.
    • Ensures the secure loading and unloading of items, taking care to prevent damage.
    • Familiarizes him/herself- with local geography and road conditions.

    • Conducts routine maintenance checks on vehicles including checking fuel, oil, and other fluids.

    Essential Requirements

    • A minimum of Five (5) years of driving experience (category B, C1 & C) for both
    • manual and automatic vehicles is required, preferably in the NGO sector.
    • Experience in Driving Category A1 and/ A2 is an added advantage
    • Secondary School or equivalent required.

    Data Clerk

    Project Manager

    Main tasks and responsibilities

    Overall responsibilities

    • Responsible for planning, coordinating and monitoring the progress of the project in order to achieve the set objectives.
    • Responsible for managing the budget, human resources and the correct elaboration of the narrative and financial reports in compliance with the deadlines and rules set by the donors.
    • Responsible for building strong relationships with various stakeholders and representing the project in various forums and meetings.
    • Accountable for the successful accomplishment of AVSI Programs/Projects in Kenya.
    • Responsible for carrying out all project activities according to AVSI procedures (or according to specific request from donors where those are more restrictive compare to AVSI procedures) for the assigned program.
    • Responsible for the correct implementation of AVSI’s procedure and norms also for the staff assigned to his/her program/project (i.e. Local Staff, or any other employee/collaborator assigned to his/her program).
    • PM has to guarantee that all agreements and different types of partnership with other organizations for the implementation of the program are clearly documented and approved by Country Director or Area Help Desk.
    • Assignments and tasks
    • Represent AVSI to the Government Officials, NGOs’ and Agencies’ in the context of the implementation of the assigned program in full agreement with the Country Representative.
    • Develop awareness in seeking opportunities to enhance new projects starting from needs, solicitations, and other inputs, that may come from either beneficiaries, internal staff and from every situation where the organization is involved in.
    • Guarantee to AVSI Kenya high professionalism with respect to authorities, national and international organisations. For this reason, it is important to constantly check the level of professional standards of AVSI Kenya staff under his/her program/project.
    • Responsible for supervising staff assigned to the specific program/project
    • Coordinate the assigned program activities assuring the respect of AVSI project implementation procedures. Guarantee the respect of AVSI procedure also for his/her staff.
    • Responsible for preparing and editing the narrative report for each program as per the request of donors and AVSI rules.
    • Provide technical support and capacity development of field officers.
