    Financial & Stock Admin Assistant

    Financial & Stock Admin Assistant Job Responsibilities

    • Collecting all Creditor Invoices, preparing documents for payment and arranging for signature of cheques
    • Preparing all invoices for cheque payment
    • Scanning and sending payment support documentation for each cheque paid to Accounting section by email
    • Implement and maintain a filing system for all documents.
    • Attending to any queries from Accounting section
    • Ensuring that all VAT, Paye and other statutory returns have been prepared and submitted in good time.
    • On request attend to all VAT and other statutory queries that may arise .
    • Collating all Import and export documentation and forward these to Finance section (VAT, Freight,
    • Forwarding and Clearing and Insurance docs) (Eventually take this role of imports over from NXR or Vanguard)
    • Ensure that Vanguard/NXR monthly expense loan account invoices are received by no later than 25th of each month and to follow up when these are not received. (Rent statements etc)

    Debt Collection 

    • Making sure that all Invoices and Statements are correct
    • Ensuring all statements and Invoices are sent to Customers on time
    • Keeping all Customer information up to date and correct on the Pastel system
    • Collecting outstanding money from Customers
    • Escalating Customers who are overdue to Management for assistance in collecting outstanding debt
    • Assistance with Stock management
    • Assist with checking of new stock received.
    • Assist with regular stock take counts and general stock management.
    • Assist with packing and return of surgical kits for Surgeons.
    • Providing back up support on request for surgeries done over weekends and after hours.

    • 3 yrs relevant working experience in similar role

    Credit Controller

    Credit Controller Job Responsibilities

    • Will be responsible for developing (together with his/her supervisor) and executing the company’s recovery and debt collection efforts.
    • Responsible for maximizing recoveries from written off accounts.
    • Ensure company debts are recovered on time and efficiently.
    • Coordinate daily execution of debt follow up by phone, visits and recovery.
    • Responsible of negotiating repayment plans with delinquent members.
    • Expected to maintain a minimum net bad debt as per the targets.
    • Monitoring and rehabilitating delinquent accounts.
    • Effectively manage account/invoice disputes, both internally and externally and ensure that disputes are resolved without undue delay

    Requirements for the Credit Controller Job

    • Minimum qualifications of at least a degree in Business field, CPA II, diploma in Credit Management course or any other equivalent Credit Control course.
    • Experience in reconciliation of Accounts a MUST
    • At least 2 years’ experience in debt collection.
    • Experience in Sage accounting or any other accounting package
    • Excellent communication skills.
    • Proficiency in Microsoft Office.
    • Should possess strong interpersonal, communication and analytical skills.
    • Ability to work with strict deadlines and targets.
    • Good negotiation skills
    • Aggressive at collections

    Executive Assistant

    Executive Assistant Job Responsibilities

    • Maintains executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
    • Represents the executive by attending meetings in the executive’s absence; speaking for the executive.
    • Maintains customer confidence and protects operations by keeping information confidential.
    • Completes projects by assigning work to clerical staff; following up on results.
    • Prepares reports by collecting and analyzing information.
    • Secures information by completing data base backups.
    • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.

    Qualifications for the Executive Assistant Job

    • Good English (speaking and writing skills)
    • Has to have experience in working as a personal assistant to either CEO or MD in a prominent company
    • Must be flexible and willing to re-allocate to Tanzania
    • Must be efficient, hardworking and confidential kind of a person
