    Customer Care Assistants

    No of Positions: 5

    The Customer care Assistant will be reporting to the Manager, Customer care Department.

    KEY RESPONSIBILITIES:

    • Assist in day to day operations in the customer department.
    • Respond to customer service issues in a timely manner in accordance with the organization policies.
    • Assist in creating effective customer service procedures, policies and standards.
    • Assist in developing customer satisfaction goals and coordinate with the team to meet them on a steady basis.
    • Assist in implementing an effective customer loyalty program.
    • Maintain accurate records and document all customer services activities and discussions.
    • Assist in assessing service statistics and prepare detailed report on the findings.
    • Assist in managing the approved budget within the customer care department.
    • Stay informed on the latest industry techniques and methods.
    • Keeping a record of customer interaction and details of actions taken
    • Managing a large number of incoming calls and emails
    • Reporting back on results weekly to the Head of Department

    REQUIREMENTS FOR APPOINTMENT:

    • Diploma in Front Office/Customer Care/ Telephone and Reception Procedures from a recognized institution lasting not less than six months;
    • Certificate in computer packages.

    Finance Officer

    The Finance Officer will be reporting to the Manager, Finance Department

    KEY RESPONSIBILITIES:

    • Assist in the preparation of budgets
    • Assist in Managing records and receipts
    • Assist in reconciling daily, monthly and yearly transactions
    • Assist in preparing balance sheets
    • Assist in processing invoices
    • Assist in developing an in-depth knowledge of organizational products and process
    • Providing customer service to clients

    Assistant Auditor

    The Assistant Auditor will be reporting to the Manager, Internal Auditor Department

    KEY RESPONSIBILITIES:

    • Assist in Performing and controlling  the full audit cycle including risk management and control management over operations’ effectiveness, financial reliability and compliance with all applicable directives and regulations
    • Assist in determining internal audit scope and develop annual plans
    • Assist in obtaining, analyzing and evaluating accounting documentation, previous reports, data, and flowcharts.
    • Assist in preparing and presenting reports that reflect audit’s results and document process
    • Act as an objective source of independent advice to ensure validity, legality and goal achievement
    • Assist in identifying  loopholes and recommending risk aversion measures and cost savings
    • Maintain open communication with management and audit committee
    • Assist in document process and prepare audit findings memorandum
    • Conduct follow up audits to monitor management’s interventions
    • Engage to continuous knowledge development regarding sector’s rules, regulations, best practices, tools, techniques and performance standards

    REQUIREMENTS FOR APPOINTMENT:

    • Bachelor’s degree in accounting or finance,
    • Certified Public Accountant section 4
    • Certified Internal Auditor (Added Advantage)

    Registration Officer

    The Registration Officer will be reporting to the Manager, Registration Department

    KEY RESPONSIBILITIES:

    • Assist in Creating, maintaining and updating doctors, COHOs and institutions files.
    • Assist in Ensuring the Registry is physically well maintained.
    • Assist in Preparing, compiling and sort documents for data entry
    • Assist in Checking source documents for accuracy
    • Assist in Verifying data and correct data where necessary
    • Obtain further information for incomplete documents
    • Update data and delete unnecessary files on the database
    • Combine and rearrange data from source documents where required
    • Enter data from source documents into prescribed computer database, files and forms
    • Transcribe information into required electronic format
    • Scan documents into document management systems or databases
    • Check completed work for accuracy
    • Store completed documents in designated locations
    • Maintain logbooks or records of activities and tasks
    • Respond to requests for information and access relevant files
    • Comply with data integrity and security policies
    • You will be expected to report to work daily from Monday to Friday starting at 8.00am and work up to 5.30pm; however, you may be required to work late or even on weekends when duty so demands.
    • Compiling daily, weekly and monthly reports to be submitted to the Council secretariat; and
    • Any other duty that will be assigned to you by the Chief Executive Officer of the Council including weekends.

    Diploma in Communication or Law or Administration or Information Communication and Technology or an equivalent.

    Monitoring & Evaluation Officer

    The Monitoring and Evaluation Officer will be reporting to the Manager, Human Resource Department.

    KEY RESPONSIBILITIES:

    • Assist in Development and implementation of result-based monitoring, evaluation and reporting system with detailed guideline for its implementation.
    • Assist the Assistant Human Resource in the Monitoring and Evaluation components, identify delivery issues of the component and ensure effective coordination of the component activities for quality and consistency;
    • Assist in generating outputs and results specified for a particular project;
    • Identification of research and M&E priorities and including these in annual plans;
    • Assist the Assistant Human Resource to Coordinate , organize, facilitate  different research/evaluation (performance evaluation, baseline, mid-term evaluation, final evaluation, etc.) using both qualitative and quantitative methods;
    • Assist the Assistant Human Resource in Identification and documentation of success stories, achievements, lesson learned and document recommendations to be integrated into broader knowledge management efforts.
    • Compile and disseminate information extracted from all available information management systems to the Chief Executive Officer and other department as needed.
    • Collaboration and coordination with Human Resource Department, and other organizations on monitoring and evaluation issues.

    Assist the Human Resource Department in organization and conduct of results-oriented trainings in the relevant areas.

    REQUIREMENTS FOR APPOINTMENT:

    Bachelor’s degree in statistics, Monitoring and Evaluation Project Management or an equivalent

    Procurement Assistant

    The Procurement Assistant will be reporting to the Manager, Procurement Department.

    KEY RESPONSIBILITIES

    • Assist the general control over all inventories of supplies.
    • Assist in dispatching supplies to the user departments
    • Assist Procurement Manager in Creating and Receiving Orders;
    • Assist user departments generate orders and communicate with them on developing specifications.
    • Assist in periodic physical inventory counts of items in the stores
    • Assist to fully maintain stock control records by organizing and maintaining documents of supplies received, requisitions from user departments
    • Assist in preparation and maintenance of assets register
    • Ensure that all assets of the Council have been marked
    • Assist in Researching market sources and vendors to locate and ensure most cost effective and competitive pricing for the purchase of supplies and services.
    • Assist in coordination of committees on procurement activities.

    REQUIREMENTS FOR APPOINTMENT:

    • Have a diploma in procurement/supply chain management/logistics or equivalent qualification from a recognized Institution.
    • A degree in procurement/supply chain management/logistics is an added advantage.
    • Proficient in computer skills including Microsoft Office Suite.
    • Have a minimum of one year experience in procurement or any related field.

    • Minimum Bachelor’s degree in Human Resource Management, Social sciences, Human Resource Training and Development or related Courses.
    • Must be Computer Literate.
